Essential Job Functions
General:
•Have a detailed knowledge and understanding of typical procurement industry practices with an emphasis on Hospitality type projects.
•Ability to engage in direct contact with internal & external clients, as well as procurement vendors to obtain and receive various procurement information.
•Able to meet tight deadlines and accurately produce work required within the position description.
•Ability to stay abreast of current procurement coordination techniques.
•Strong math skills.
•Ability to handle multiple assignments at once.
•Ability to manage a small team of Procurement Coordinators and/or buyers, internally & externally.
•Maintain close attention to detail and a high level of organizational effectiveness.
Procurement/Purchasing:
•Have a detailed knowledge of direct purchasing techniques, 3rd party procurement companies, and industry standards for internal purchasing practices.
•Have a detailed knowledge of owner-furnished Furniture, Fixtures, and equipment information which includes samples, cut sheets, pricing sheets, & budgets.
•Have a detailed knowledge of owner-purchased construction items that are Contractor or Subcontractor installed.
•The ability to capture, categorize, assign, update, and close all procurement and purchasing-related Action Items and Issues within a Project Management software platform.
•An ability to attend Company, Departmental, and Project Specific Meetings. Duties will include assisting the team in capturing and issuing procurement specific meeting minutes, action items, and responses utilizing a Project Management software platform.
•The ability to assist the Project Manager in the organization and flow of project specific procurement & purchasing reviews and approvals throughout the life cycle of a project. Activities may include management and tracking to/from the 3rd party procurement company and/or vendors utilizing a Project Management software platform.
•The ability to assist the Project Manager in the organization and flow of project specific 3rd Party Procurement and internal Purchasing Submittals, Transmittals, and Correspondence.
•The ability to assist the Project Manager in the input of Procurement and Purchasing budgets into a Project Management software platform. Additionally, will be able to regularly update budgets based on information provided from 3rd Party Procurement Companies, Vendors, and Project Managers assigned to specific projects.
•The ability to assist the Project Manager in the generation, execution, maintenance, and closeout of 3rd Party Procurement Contracts, Vendor Purchase Orders, and associated Change Orders. Activities will be primarily contained within a Project Management software platform but will also require external communications such as emails, phone calls, and other correspondence methods.
•The ability to assist the Project Manager in the generation, execution, maintenance, and closeout on all procurement related reporting which may include procurement cost forecasts, purchasing schedule updates, and product quality reports.
Field Activities Support:
•The ability to assist the Project Manager and other field personnel, Customers, or Contractors in the generation of Procurement and Purchasing Daily, Weekly, and/or Monthly Reports primarily utilizing a Project Management software platform.
•The ability to assist the Project Manager and other field personnel, Customers, or Contractors in the maintenance of project and department-specific Procurement & Purchasing Schedules. This work may require the knowledge of Scheduling-specific software. •The ability to assist the Project Manager in the organization and flow of project-specific Procurement & Purchasing Checklists/Punch Lists
