Basic Responsibilities

  1. Records Management – including, but not limited to, bio/demo maintenance on all CRM Advance records, or, maintenance of mailing lists, or, filing of record related documents.
  2. Gift Processing – including, but not limited to, preparing gifts to be receipted by verifying/changing record information.
  3. Special Events – staffing the twice yearly Grad Fair, or other duties as assigned.

Essential Duties

  1. Records Management:
  1. While this position can maintain records in any area of CRM Advance, this position will serve as the primary staff member to focus on working new graduate records and coordinate working records of non-returning, non-graduate records. 
  2. This position will serve as the primary staff member to review address and phone changes made through the Workflow (NagUser) data change sources.  Also to serve as the secondary staff member to receive and process the weekly iModules On-line Alumni Directory changes,
  3. Throughout the year, primary staff member responsible for coding ACU Sports Hall of Fame recipients and ACU Lettermen.  Also, codes the Dean’s Honor Roll recipients if that is not done by a student employee. 
  4. Serve as the secondary staff member to check the Duplicate Tracker spreadsheet (maintained by Enterprise Applications) to remove duplicates from iModules online directory and approve/process the merging of duplicate records. 
  5. Primary staff member for printing and filing (or scanning and attaching) of Alumni Records Information sheet completed by the new graduate.
  6. Verify and enter parent information from the Personal Data Form (PDF) completed by students during New Student Orientation.
  7. This position will share responsibility for updates to records from information on Advancement division Google docs and CRM Advance tasks.
  1. In the area of gift processing, this position may be involved in preparing gifts to be receipted by verifying/changing record information.
  2. In addition to staffing various special events, this position is also responsible for coordinating Advancement Services staff to work the Grad Fair.

  1. Data entry and data analysis skills for Banner records.
  2. Basic word processing (Word) and spreadsheet (Excel) skills.  Understanding of Windows environment and directory structure and how to use email, web browser software, and Google products.
  3. Written and verbal communication skills.
  1. Training Modules Required
  1. CRM Advance training.
  2. Training to support various software packages.
  3. Appropriate courses emphasizing customer service and telephone etiquette and how to communicate effectively in writing or verbally.

Physical Demands
