POSITION SUMMARY

The Onboarding Specialist provides front-line support to team members, candidates and hiring managers in the hiring process. Works collaboratively with Talent Acquisition Specialists and Leadership to support various aspects of Talent Acquisition, such as scheduling/processing all background related requirements, and ensuring that new hires are in compliance in accordance with healthcare laws and regulations.

The HR onboarding specialist will assist with inter-department and external onboarding of incoming candidates, as well as volunteers and contract personnel. Will assist with day-to-day a dministrative duties related to the operations of the Talent Management office.

• Understands and promotes Elizabeth Seton Children’s Mission, Vision, and Core Values to ensure application with organizational policies and procedures.
• Responsible for onboarding new hires, ensuring that records are complete and compliant with regulatory standards.
• Provides primary support for Talent Acquisition in reviewing, tracking, and reconciling position management.
• Ensure completion of new hire pre-employment, to include background checks, education and licensure checks, screenings and other requirements needed.
• Demonstrates excellent phone skills including inquiry calls, explanation of onboarding processes, scheduling appointments.
• Builds and fosters relationships with Talent Acquisition Specialists, Hiring Managers, team members and candidates to ensure a positive onboarding experience.
• Communicates with facilities about their candidates and where they are in the onboarding process. Assist with onboarding with incoming candidates by coordinating and scheduling OHS (Employee Health) medical clearance exam and HR onboarding appointment.
• The Onboarding Specialist will manage all posting schedules under 1199 JSF, and will track internal transfer applications for departmental review.
• Assist in management and preparation of PCNs effectively communicating with Benefits/HRIS to insure accuracy of employment record.
• Manage Applicant Tracking System to maximize efficiency and effectiveness of the recruitment and on-boarding process
• Manage multiple candidates, and multiple facilities. Initiate and monitor standard new hire paperwork (I-9, state-specific compliance forms etc.)
• The Onboarding Specialist will generate reports as necessary to effectively track and update the hiring process
• Assists in the preparation and coordination of monthly new hire orientation.
• Assists talent acquisition team with screening candidates and scheduling interviews.
• Assists with planning and execution of special events such as hiring events, benefits enrollment, organization-wide meetings, supporting professional and leadership training delivery, employee recognition events and celebrations.
• Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
• Responsible for administrative duties related to the day-to-day operations of the talent management office, including responding to employee inquiries and requests.
• Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishes personal networks; participating in professional societies.
• Performs other duties as assigned and/or participate in special projects to support the mission of Elizabeth Seton Children’s and the team, accepting alternate responsibilities as required.

Education Requirements:

• Bachelor’s degree in Business Administration, Human Resources Management, or related field of study or equivalent significant experience.
• HR professional certification (PHR or SPHR) preferred.

• 1-3 years of experience in Human Resources or related field, preferably in healthcare setting.
• Excellent written and verbal communication skills.
• Excellent customer service and interpersonal skills.
• Excellent attention to detail and ability to organize tasks/projects effectively.
• Ability to maintain confidential and sensitive information.
• Knowledge of office management systems and procedures, including Microsoft Office Suite.
• Working knowledge of HRIS and applicant tracking system preferred.

Salary Range:

$65,000/Yr. - $75,000/Yr.
