Job description
Job Summary: The Assistant Director will support and assist the Director with planning, directing and coordinating of all phases of operations, complying with regulating government agencies and Ladybird Academy’s policies and procedures.
Supervisory Responsibilities
- Assist with the daily workflow, scheduling, and operations of the school.
- Assist in hiring and training academy staff.
- Evaluates teacher and teaching assistant performance and provides additional training and guidance.
- Manages, directs, and evaluates administration, kitchen, and janitorial staff.
- Handles the training, discipline, and termination of employees with the support of HR.
Duties and Responsibilities
- Maintain a visible presence throughout the facility upholding the high standards of service that Ladybird Academy is known for.
- Contribute to the staff work/break schedule and organize in the absence of Director.
- Maintain a good relationship with parents and/or guardians.
- Contribute to the monthly staff and family newsletter.
- Set out and communicate clear expectations to the staff and children, so everyone understands what is expected from them.
- Assist and contribute to bi-monthly group staff meetings.
- In compliance with regulating government agencies, carry out safety checks, monthly fire drills, tornado drills, and lockdown drills.
- Ensure parent complaints have been dealt with in a positive businesslike manner; consult with the Area Director/Area Manager when necessary.
- Monitor, sign, and communicate accident/incident reports to families.
- Distribute medication when necessary, following licensing procedures and regulations.
- Contribute to staff appraisal meetings.
- Cover for staff shortages in the classrooms.
- Contribute to weekly Director Checklist and Memos.
- Ensure student files follow guidelines set by regulating government agencies to meet Minimum Standards and Licensing Laws when the Administrative Assistant is absent.
- Ensure all new student information is entered and maintained accurately in ProCare. Including Immunization and Health statements tracking when the Administrative Assistant is absent.
- Ensure all parents/guardians fingerprints are registered into ProCare on the first date of enrollment of their child.
- Enter all new employee information into Procare in the absence of the Director.
- Complete Child Care Aware attendance forms if applicable.
- Observe in classrooms weekly and contribute to the Directors Weekly Memos based on observations.
- Submit classroom observation forms monthly.
- When operating as MOD and when needed, conduct daily counts and input onto a spreadsheet daily.
- Answer phones and other administrative tasks.
- Conduct tours in the absence of the Director.
- Spot-check that follow-up phone calls have been made to prospective tours as needed.
- Motivate staff and promote teamwork.
- Ensure that all areas of the center meet Minimum Standards and Licensing Laws.
- Assist with the preparation and timely submittal of weekly ProCare reports required by Corporate Managers. Such as enrollment summaries, charge credit, tour information, account balances/collections,timecards, and payroll.
- Assist with the 15-minute counts in the afternoon, and move staff accordingly. Send staff home when applicable.
- Print VPK Long forms, distribute them to classrooms, and provide them to the Director on or before the 2nd business day of the month.
- Any other duties as required by the position.
- This position may require overtime, evening, and weekend hours.
Qualifications
- Child Development Associate Credential (CDA) or higher level of education
- An original and current VPK and Director’s Credential
- First Aid/CPR certification
- If previously worked in childcare, state-mandated annual in-service training hours must be up-to-date
- No pending or past arrest record
- Reliable transportation
- Willing to be assigned to alternate locations, from time-to-time
Physical Requirements
Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.
