Job description
ESSENTIAL FUNCTIONS AND JOB RESPONSIBILITIES:
a. Responsible for training new Patient Service Representatives (PSRs) within the departments under the assigned Director of Department Operations (Family Medicine, Surgical Specialties, Medical Specialties, Women’s & Children’s Services).
b. Works closely with the Business Office and is the point person for functions and training related to Business office front desk operations.
c. Functions as the PSR go-to person for routine questions relating to duties.
d. Assists the practice supervisor and practice manager with ordering, inventory, and coverage schedules.
e. Creates and maintains training guides, which include provider scheduling guidelines and preferences, department phone list with all staff extensions and provider fax's and then submitting to the practice manager for approval.
f. Greets and welcomes patients/guests in person and/or on the phone in a professional, respectful, confidential manner.
g. Utilizes computer system accurately/efficiently for patient registration, appointment scheduling, charge posting.
h. Utilizes all functions of phone system in directing calls to appropriate staff or service areas, ensuring minimal transfers.
i. Documentation is thorough, objective, concise, and follows appropriate legal guidelines.
j. Communicates effectively with patients, staff, physicians, and other service areas, with professionalism and appropriate follow through, utilizing telephone, computer, and fax.
k. Accurately and discreetly schedules, reschedules, cancels, and/or confirms patient appointments with provider per department protocols.
l. Follows SBC Service Reimbursement Policies and utilizes up-to-date coding information.
m. Accurately and consistently performs cashier functions, including collection of patient-owed dollars and balancing the cash drawer.
n. Observes department conditions and activities taking appropriate action to deliver a positive patient experience.
o. Exhibits computer systems knowledge and proficiency as necessary to perform job functions.
p. Demonstrates the attitudes and behaviors of The South Bend Clinic Service Standards.
q. Performs other duties as assigned when appropriate.
r. Adheres to HIPAA guidelines set forth in Clinic policies and procedures.
Additional Responsibilities (Other departments as required)
a. Develops, pulls, and retrieves charts in a timely manner for surgery scheduling.
b. Responsible for completeness and accuracy of patient record. Files all patient records once complete while maintaining chart order.
c. Prepares new patient charts.
d. Communicates with Business Office patient information required for billing.
e. Cross trains with surgery scheduling.
f. Maintains good working relationships with all contacts.
