Position: Marketing Coordinator


Responsible for: Provides administrative assistance in all aspects of departmental operations including event planning, promotions, and transition management.
Reports to: Director of Marketing


Primary Objective: Supports the ongoing efforts of the Sales team in introducing The Dogwoods to prospective residents and their families. Enables sales team members to meet or exceed sales goals for presales to move-ins.


PRIMARY EXPECTATIONS AND JOB DUTIES
Expectations


The Marketing Coordinator is expected to anchor the Sales Team by serving as the "face" of the department in all daily interactions. Additionally, this individual provides administrative support in all aspects of departmental operations, as well as planning assistance for events and promotions.

Duties
The Marketing Coordinator will:Take responsibility for providing superior hospitality to prospective residents and other guests;
Understand the minimum sales targets throughout the development lifecycle and assist in helping the sales team achieve them;
Receive initial inquiries over phone and internet, enter into CRM
Make reminder and follow-up calls relative to events and other needs;
Ensure the office is fully stocked with supplies, collateral material and other items necessary to the sales function;
Make deposits and handle transactions accurately on the day on which they occur, process cancellations;
Set up and manage prospective resident files;
Maintain all sales reports, CRM reports, Engrain, Mailing and Suppression Lists
Maintain Facebook page daily
Manage the response and fulfillment of collateral for all inquiries;
Coordinate and take part in events to promote the opportunity to prospective residents or influencers;
Manage the timely processing of departmental accounts payable against budgeted spend down schedule;
Understand departmental sales goals and actively contribute toward achieving those goals;
Be an active member of the team, participating in strategic discussions, training sessions and other exercises aimed at understanding the customer and market/competitive forces;


General Productivity
The following minimum sales targets have been established: 70% reserved by Dec 2024; 80% sold at opening; sell-out and achieve 95% occupancy within 12 months of opening.

GENERAL QUALIFICATION GUIDELINES

Experience and education
Three to Five years' experience in office management or similar involvements.
Bachelor's degree or equivalent preferred.
Demonstrated interest in continued growth and learning.
Knowledge, skills, and abilities
Must master the technical aspects of the role including: the computing and reporting environment, accounts payable, and inventory controls.
Capable oral and written communication skills.
Must be self directed, with high detail orientation and organizational skills and commitment to accuracy.
Must be capable of prioritizing and managing multiple tasks simultaneously.
Physical skills and ability to perform work that requires continual standing, walking, stooping, bending, vacuuming and lifting up to 25 pounds.
