Job Summary

Department-Specific Responsibilities
  • Serves an integral role providing coordination and management of all administrative and operational activities necessary for student-facing units and Centers within Diversity, Equity and Inclusion (DEI). These centers are the Multicultural and LGBTQ+.
  • Serves as the administrative assistant to the Assistant Vice Chancellor for DEI as well as the Directors of the Multicultural and LGBTQ+ Centers.
  • Manages daily administrative and operational functions of the Multicultural and LGBTQ+ Centers to include purchasing, finance, travel, calendar monitoring and scheduling, and handling email, phone and walk-in inquiries, and general facility oversight.
  • Serves as the executive assistant to the Assistant Vice Chancellor for DEI and both the Multicultural and LGBTQ+ Center Directors.
  • Schedules all appointments and meetings; determines availability or alternate representation; coordinates calendars with others in the Centers, on campus or in the community.
  • Prepares correspondence and presentations, including proofing and editing reports and presentations.
  • Prepares materials and coordinates staff meetings.
  • Assists in the administration and monitoring of the emergency assistance and support programs provided by the Multicultural and LGBTQ+ Centers.
  • Assists in the preparation of annual department budget and associated reporting.
  • Assists in analyzing financial activities and performance against budget.
  • Assists in other financial activities related to the Centers' programming and operations.
  • Serves as the primary center business officer and administrative liaison with Budget office, Payroll, University College, and Campus Facility Services.
  • Serves on applicable building and campus committees in relation to operational and administrative responsibilities (such as emergency preparedness team and business continuity coordinator).

    General Responsibilities
  • Provides administrative support to executives, exercising confidentiality, tact and diplomacy.
  • Utilizes business software applications to prepare correspondence, reports, presentations, agendas, minutes, etc.
  • Receives, screens, and directs incoming calls, visitors, mail, and email promptly, courteously, and accurately
  • Manages executive's calendar, meetings, travel, correspondence, and budget.
  • Acts as informal resource for colleagues with less experience; responds to more complex or escalated inquiries
  • Identifies, enhances, and follows specific processes and procedures to maximize the efficiencies of the business to which the support is being provided.
  • May perform other duties related to maintaining an internal website and/or working with social media.

EDUCATION

Required
  • High school diploma or equivalent (such as HSED or GED).
Preferred
  • Bachelor's degree.
WORK EXPERIENCE

Required
  • 4 years of relevant experience.

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

Advertised Salary

$42,000 - $44,000 per year based on experience.
