Job description
KeyStaff is looking to onboard an experienced Grant Program Secretary in San Marcos, TX!
Schedule: Monday- Friday 7am-6pm
Salary : $17+/hr DOE
Job Duties and Responsibilities:
- Assist in managing departmental budgets.
- Assist in reconciling departmental accounts.
- Reconcile budgets and resolve discrepancies.
- Analyze complex financial data and reports and make recommendations based on analysis.
- Monitor and analyze budget expenses, purchase orders, p-card, NPO’s, materials releases, etc.
- Manage procurement card program.
- Assist in coordination of office activities.
- Analyze, evaluate, examine, and execute Personnel Change Request (PCR) transactions.
- Keep accurate records of employee time by checking labor logs, timesheets, vacation, and sick leave reports.
- Hire, train, schedule, and supervise student workers and staff.
- Train Administrative Support Staff.
- Confirm I-9 forms are fully completed and verify identity and eligibility documents on new employees.
- Coordinate activities of student workers.
- Check documents submitted for completeness.
- Complete various forms, reports, letters, manuals.
- Develop and maintain accurate records.
- Enter/update data.
- File documents.
- Monitor file/record keeping schedule in accordance with university guidelines.
- Assist in coordinating and preparing documents.
- Provide guidance on internal file/record audit policy.
- Coordinate travel arrangements.
- Act as office liaison with other departments.
- Answer phone, e-mail, screen, or transfer calls; take messages; refer to other offices as appropriate.
- Attend staff and other department meetings as assigned.
- Communicate with other personnel, faculty, staff, students, parents, customers and/or others.
Qualifications:
- High school diploma or equivalent.
- Experience in secretarial or administrative work.
- Ability to organize and prioritize tasks in an accurate and timely manner.
- Ability to coordinate a variety of work activities and work as part of a team.
- Ability to manage multiple deadlines, tasks, projects, and assignments with minimal supervision.
- Experience with fiscal and/or budget management.
- Ability to effectively communicate verbally in a courteous manner with internal and external contacts.
- Two years’ experience in complex secretarial or administrative work in a fast-paced environment.
- Experience working with federally funded programs or projects, particularly those involving college students.
