GENERAL SUMMARY
The Payroll & Leave Manager works under the direct guidance of the US Human Resource Director and general guidance of senior leadership. Responsible for overseeing the payroll and leave processes and is the primary point of contact for payroll and leaves.
MAJOR RESPONSIBILITIES - Manage all aspects of payroll using ADP and process payrolls for 180 employees and growing, including the following:
- Collect, review and process payroll for salaried and hourly employees on a biweekly basis , including regular review and calculation of overtime pay for hourly employees.
- Ensure compliance with all applicable wage and hour laws.
- Maintain effective schedules of payroll data to facilitate the recording of payroll activity to the general ledger.
- Manage year-end processing while ensuring accuracy and integrity of data, including validation of year end statements and related reporting.
- Manage and maintain all payroll documentation to ensure proper archiving and document retrieval, while maintaining strict confidentiality of all payroll-related information.
- Work closely and regularly with and provide support to Finance team as needed.
- Manage and submit all 401k contributions to provider each period, review and process employer 401k match.
- Prepare, audit, and maintain accurate records and reports of payroll transactions; ensure compliance with local, state, and federal laws.
- Ensure the seamless administration of all federal & state leave of absence programs; maintain compliance, monitor updates & communicate changes as needed.
- Assist in the annual financial audit process with external auditors by providing supporting documentation in a timely manner.
- Assist in facilitating internal audits and prepare/submit reports including payroll, retirement, and insurance audits.
- Assist with the on-boarding of new employees including working with managers and coordinating across multiple departments to ensure a positive employee experience.
OTHER DUTIES - Partner with leadership in support of initiatives and best practices.
- Regularly review the payroll and related functions and create efficiencies/make recommendations for improvement.
- Work with the management to ensure compliance with internal control requirements.
- Undertake and complete other ad hoc projects as required.
- Evaluate current technologies to ensure full functionality.
- Assist in development, and implementation of human resource policies, procedures, and forms.
- Related duties as required.
PROBLEM SOLVING/DECISION MAKING - Functions independently on a day-to-day basis with guidance from senior management.
- Exercises judgment to solve short- and long-term issues related to Payroll and Leaves, escalating issues regularly for compliance and continuous improvement.
- Complies with all regulatory guidelines, occupational health and health and safety programs, in accordance with company policies and procedures.
MINIMUM QUALIFICATIONS Education | Work Experience |
Bachelor’s Degree in Accounting, Finance or Human Resources preferred. Certified Payroll Professional (CPP) preferred. | Minimum 5 years working in multi-state payroll processing and leave administration. Previous experience and current knowledge of ADP required. |

- Extensive knowledge of the payroll function including preparation, balancing internal controls and payroll taxes.
- Current Pay Law knowledge.
- Extremely detail oriented and ability to meet deadlines.
- Excellent written and verbal communication skills and ability to communicate with all levels of the organization.
- Experience in identifying and supporting process improvement and/or project management.
- Discretion in handling sensitive and confidential information.
- Proficient in MS Office (Excel, Word, Outlook, etc)
- Experience with ADP preferred.
PHYSICAL REQUIREMENTS - Manual dexterity and visual acuity to operate office equipment.
