SUMMARY:
Enrollment Coordinator is responsible for coordinating all aspects of the Hub Enrollment Call Center. This includes pre-enrollment planning, active enrollment & post enrollment file submission and clean up. Daily Liaison to the client and Hub Consulting Team. Assists the Worksite Practice Leader & Senior Benefits Enrollment Coordinator in day to day needs of the Enrollment Call Center.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Creates and sets up client files and Enrollment Check lists – Includes reviewing previous notes & Benefit Point for current Team & Client contact information
Schedules weekly internal Hub Team & external Client enrollment planning calls to assure that each enrollment is accurate & running according to the timeline. This includes agenda & recap for each call.
Works closely with Technology Team and HUB Consulting Team to maintain accuracy of One Drive files, to include Workbook, timelines, census & post enrollment templates.
In coordination with Enrollment Team Lead, collects and organizes training materials. This includes contacting Team Account Manager for basic carrier, product and value-added details
Creates E Binder & works closely with Hub Team & Carriers for accuracy.
Work with Enrollment Team Lead to test enrollment system prior to enrollment to assure worksite products are correctly built within the system.
Participates in Enrollment Training to assure full knowledge of client benefit package to be able to assist counselors throughout the enrollment.
Compile daily reports and save to client files throughout enrollment process. To include enrollment stats and Service Ticket Issues.
Schedule & lead pre audit call with Hub Team & Technology Partner.
Responsible for final submission timeline management. Works closely with Technology Team & Senior Enrollment Coordinator to assure that all files are audited and submitted correctly and on time.
Compile and send all post enrollment reports to client to include Benefit Authorization Forms and payroll file.
Schedule Post Enrollment Client call. To include agenda & recap
Conducts full audit of enrollment, carrier & payroll files, utilizing pre audit notes, counselor notes & service tickets, to assure accuracy prior to submission. Accurately communicate any discrepancies to Senior Enrollment Coordinator and/or Technology partner.
Understands and stays abreast of changes in employee benefits, including plan designs. Attends training opportunities, regularly participates in coursework to either earn or maintain professional designations.
Participates in team meetings. Communicates thoroughly and clearly with all team members concerning timelines, file accuracy & submissions encouragement and praise, promotes engagement, and builds good working relationships. Ensures team is following timeline.
Acts as client's advocate with carriers and vendors. Always has client's best interest at heart.
Knowledge/Experience Required
College degree preferred Accident & Health Insurance License currently or within 6 months
Previous experience in benefits, specifically Enrollment required
Strong knowledge and/or experience with EE Navigator, Selerix or other enrollment software.
Proficient in Microsoft Office products with emphasis on Excel and PowerPoint.
Skills/Abilities Required
Able to complete assigned tasks and projects within pre-defined timelines.
Able to effectively prioritize work and multitask Team player possessing a positive, self-motivated attitude
Highly organized. Strong attention to detail, logical thinking, problem solving and communication skills.
Able to manage a multitude of details (including paperwork); proactive while juggling these issues.
Possess a natural inclination to reach out, build relationships, and uncover issues before the client calls HUB.
Very comfortable with typical business technology including online platforms, e-mail, spreadsheets, and presentation software (Microsoft Teams).
Proficient in typing.
Be able to take direction from Worksite Practice Leader & Sr Enrollment Coordinator, follow through and complete tasks.
