About the Job:
The Front Office Coordinator reports to the Office Manager and is responsible for corporate office functions including answering the front desk telephone, administration functions and internal Customer Service. The Front Office Coordinator is the first line of contact for our visitors and corporate employees and as such, must embody National CORE's Mission and Guiding Principles.
RESPONSIBILITIES
Duties include, but are not limited to the following:
- Represent the company in a professional manner, greet visitors with a smile and offer refreshments.
- Coordination of all front office activities including maintaining the lobby in a neat and organized manner.
- Answer all incoming telephone calls and take messages when necessary.
- Assist the Sr. V.P. of Operations, the Director of Human Resources, Office Manager and HR team as needed.
- Sort and route all incoming mail, faxes and inter office mail accordingly.
- Prepare Federal Express packages for daily output by 3:00 p.m. daily and mail by 11:00am.
- Keep a complete stock of Employee Benefits packages for Benefits Manager.
- Order FedEx supplies on-line as needed.
- Update postage machine information and ensure it is in operable condition in the mail room.
- Check regular office supplies, breakroom supplies and copy paper on a weekly basis to ensure both floors are stocked with the essential office supplies.
- Order Office supplies on the 15th of each month, unless an urgent request comes in.
- Order business cards for employees as well as new employees as requested through IT portal.
- Enter PO's with approved invoices for supplies, etc. into Yardi for payment.
- Maintain copies of National CORE's Property List are in the bin outside of the front door.
- Send out the National Community Renaissance property list as requested.
- Maintain mailboxes on the first and second floors and update with new employees as needed.
- Monitor and reconcile Corporate Credit card.
- Assist with Founders Conference room setup for meetings as needed.
- Any other assignments as needed.
EXPERIENCE
The Front Office Coordinator should have the following minimal skills:
- Minimum 3 years' experience as a Front Office Coordinator or similar role.
- Excellent communications skills, bilingual in Spanish preferred.
- Professional and friendly appearance and demeanor.
- Skilled in the use of MS Office; Word, Excel, Outlook and PowerPoint.
- Maintain work pace appropriate to given workload.
- Be a team player.
- Work harmoniously with clients, consultants and other professionals.
- Manage the demands of multiple staff members.
- Show initiative in completing tasks timely.
PHYSICAL REQUIREMENTS/WORK ENVIRONMENT
- Operate computer and office equipment.
- Ability to push, pull, and lift up to 25 pounds.
- Work is primarily sedentary in nature.
