Job description
Position Summary
The Office Manager is responsible for overseeing the office operations including reception, common areas, office purchasing and mailroom/facilities. The Office Manager is also responsible for directing and coordinating office events, business meetings and employee activities. The Office Manager reports to and provides administrative support to the Executive Leadership team.

Responsibilities
- Ensure efficient and effective office procedures are documented and implemented
- Greet and assign visitors and guests
- Assign access card to employees and vendors visiting the office
- Keep track of visitor access cards and record of all visitors/vendors
- Assist with requesting space for visitors, and catering when necessary
- Facilities
- Serve as main point of contact for facilities maintenance and repairs
- Ensure office is presentable and kept neat
- Assist with overall office maintenance, making repairs or requesting additional assistance as needed
- Report facility issues and track status to ensure timely resolution
- Schedule appointments and be on-site
- Maintain office equipment and supplies, including copiers, printers, postage machine, AED machine, etc.
- Serve as Cummings Center main point of contact
Additional Responsibilities
- Handle incoming calls to general line
- Answer, screen and direct phone calls throughout the company
- Mail/Packages
- Post all outgoing mail
- Open, scan and send all incoming mail to the appropriate department
- Create FedEx shipping labels for all Oxford offices as needed
- Review FedEx invoices to ensure charges are correct and billed to the appropriate department
- Manage local and global events and office activities, including Town Hall meetings, Oxford Cares and the “Culture Committee”
- Assist with all aspects of planning: coordinate with vendors, communicate event details to employees, budget analysis, set-up/breakdown, etc. Ensure confidentiality of information, as required
- Oversee the process for ordering office and breakroom supplies
- Manage additional, special projects for the leadership team as requested
- Provide support to other departments upon request
- Other duties as assigned

- Ability to exercise discretion in handling sensitive, confidential materials and matters
- Flexibility to do what it takes with regard to hours and availability
- Ability to maintain regular attendance and work all hours necessary or required
Education
Experience
- 1-3 years of office support experience preferred
- Track record of exceeding goals
- Demonstrated ability to maintain an active schedule and calendar of events
- Experience supporting in a decentralized organization preferred
- Strong knowledge and skills in Microsoft Office Suite, Visio and the Internet/Intranet
