Job description
The Human Resources Assistan t completes administrative duties for the HR department and provides support to operational programs. This individual will assist the CFO, HR Team and managers with recruitment, maintain employee records, and provide administrative support to all employees.
Duties & Responsibilities:
- Support Talent Acquisition with processing employment changes (new hires, transfers, terminations) for all programs and communicate that information to the HR and Operations teams.
- Participate in facilitating new hire orientation and follow-up activities; prepare new hire orientation folders, send/receive psychotherapist background forms; set up/clean-up of orientation room.
- Strengthen RADIAS Health's social media presence by actively seeking articles related to mental health/career development to re-post/share on the agency's accounts (Facebook, LinkedIn, Glassdoor, Twitter, and other platforms) to increase activity.
- Assist TA Lead with creating engaging content and campaigns to grow followers, showcase our company culture, and promote our brand.
- Provide support to Talent Acquisition Partners regarding the full recruitment cycle: review resumes, complete phone screens, interview candidates, administer pre-employment assessments, verify work history, and reference checks, and hire candidates for positions available; attend career fairs and recruiting events.
- Support Benefits and Payroll manager with administrative tasks related to payroll and accounting, such as supporting work comp and 403B audits, using excel to reconcile benefit invoices.
- Provide general administrative support to the HR team such as preparing correspondence, forms and reports, arranging meetings, composing regular correspondence, processing confidential reports and documents, filing electronic and hard copy documents, faxing, copying documents, tracking deadlines, and recording minutes as needed; maintain clean and safe workspace.
- Assist HR Director, HR Consultant and HRBP with various projects and data entry.
- Track and maintain schedule of agency policy acknowledgements, auto insurance, professional licensure, performance appraisals, trainings, etc. as needed. Follow-up for completion as needed, following ADP acknowledgment process.
- Monitor HR email inbox daily and respond and forward as appropriate.
- Update HRIS and other systems (DHS Net study) with employee data changes.
- Complete internal audits on employee data and processes as requested.
- Maintain I-9 filing and other HR required filing systems.
- Manage electronic employee files; make sure all employee records are filed correctly and kept confidential.
- Order flowers for bereavement and other events; manage courier service requests.
- Assist HR team with agency surveys.
- Redirect HR related calls or distribute correspondence to the appropriate person of the team.
- Facilitate 30-day check in email for new hires and transfers.
- Provide responses to employment verification requests in a timely manner.
- Complete EEO-1 reporting in partnership with HR Consultant and HR Director.
- Assist with OSHA reporting.
- Maintain an “open door” policy for all employees and positions. Act as a resource for employees to seek advice and counsel relative to concerns about their work experience.
- Update content on the organization’s intranet system.
- Assist with agency event planning.
- Able to comply with sensitive and confidential information.
- Complete all paperwork, reports, and charting contemporaneously and in an organized manner.
- Participate actively in on-going professional growth and development; maintain appropriate professional behavior and participate in appropriate supervision.
- Maintain a pattern of regular work hours.
- Other duties as assigned.
Requirements
- Bachelor's Degree or 1+ year of working in a support role for an HR Team.
- Experience supporting full cycle recruitment process.
- At least 1-2 years experience providing administrative support to a team.
- Strong ability in using MS Office (MS Outlook and Excel preferred).
- Knowledge of human resources processes and best practices .
Preferred:
- Experience in health care or human services environment.
- Experience with HRIS system and ability to work with ATS software.
- In-depth understanding of sourcing tools , like resume databases and online communities.
- Familiarity with social media recruiting .
- Basic reporting experience.
