Job Location: This position will be located at 920 Wildwood Drive, Jefferson City, MO 65109.

This position reports to Abby Vivas, Chief of the Office of Business Opportunity (OBO) and also supports the Office of Operational Support (OOS).

The Division of Cannabis Regulation is a new division within the Department of Health and Senior Services. The Division is tasked with regulating the Missouri cannabis industry. The cannabis industry is ever-changing, fast paced, and is expected to grow and develop for many years.

- Serves as lead administrative support assistant responsible for a variety of office support functions or services for the Office of Business Opportunity (OBO) and Office of Operational Support (OOS) staff.
- Manage scheduling on behalf of the Chief of OBO and Chief of OOS, maintain team meeting calendars and arrange meetings/conferences calls.
- Arrange in-state and out-of-state travel arrangements and conference registrations (assemble required documentation like trip optimizer, justification memos, approvals, invoices, compile a travel folder for staff including conference agenda).
- Take minutes as needed.
- Handle incoming/outgoing calls, mail, and disseminates information in a timely manner.
- Oversees and ensures the accurate and timely preparation, review, posting and processing of a variety of tasks encompassing fiscal, personnel, and other documents (e.g., prepare expense reports, purchase request forms, fleetwave reports, human resource tickets, prepare monthly purchase card documentation).
- Completes assigned projects such as filing, word processing, compiling/preparing spreadsheets, completes various types of requests (e.g., reports, Power Point presentations, record requests, etc.) and operates general office equipment.
- Provides ongoing clerical and data-entry support to assist in the coordination, review and tracking of multiple projects and documents.
- Create IT tickets for webpage posts during times of high work volume in order to ensure communication is posted to the website.
- Ensures quarterly updates are completed to the division's administrative manual.
- Updates trackers using Excel and may assist in the creation of pivot tables.
- Assist the division in preparing for New Employee Orientation to onboard new hires: preparing orientation packets, scheduling conference rooms, sending calendar invites, and creating tickets for network access.
- Collaborate with and assist DCR support staff on division-wide tasks, items and issues.
- Proof public-facing documents for accuracy.
- Adhere to State of Missouri and department fiscal policies.
- Travel will be required with possible overnight stays and possible overtime
- Other duties as assigned.
- Three to five years of relevant experience (substitutions may be allowed).
- Possesses a positive attitude, strong critical thinking skills, exceptional organizational skills and the ability to work in an evolving team dynamic.
- Strong analytical and problem- solving abilities with a keen attention to detail.
- Effective communication to deliver messages in a clear, compelling, and concise manner. Actively listens and checks for understanding and adjusts content and style as needed.
- Excellent organizational and time management skills, and ability to work independently with minimal supervision.
- High level of commitment, exceptional customer service and maintain confidentiality.
- The ideal candidate must be able to work independently, multitask and demonstrate initiative.
- Proficiency in Microsoft Office Suite and able to quickly learn specialized systems.
- Comprehensive knowledge of state government office practices, procedures, systems, and equipment is preferred.
- Strong knowledge of and passion for state government, public health, and/or regulation, preferred.
- Exceptional interpersonal and communication skills, with the ability to collaborate effectively with diverse teams and strategic partners.
- Critical and strategic thinking and planning skills.
- Strong analytical and problem- solving abilities with a keen attention to detail.
- Effective communication to deliver messages in a clear, compelling, and concise manner. Actively listens and checks for understanding and adjusts content and style as needed.
- A high level of initiative with the ability to identify a problem, investigate proactively to propose a solution, and know when to ask for help.
