Job Overview

The Executive Assistant to the Superintendent and Board of Trustees provides administrative support to both the Board of Trustees and Superintendent, interacts effectively with community members, district staff, students, and top-level officials (legislative, community, county, school). The incumbent will provide and maintain positive executive level support on frequently sensitive, confidential, and controversial matters. Considerable judgment and tact are required of the incumbent in managing the many diverse situations and dilemmas that occur.

Position Description

Essential Duties and Responsibilities

Keep Superintendent and Board of Trustees informed of deadlines and pending items.Maintain calendars, schedule appointments and conferences; make necessary arrangements for meetings and conferences, including location, space, time, and participants; prepare correspondences to general requests and routine letters on varied matters that require Superintendent's and Board President's signature
Prepare Board meeting notices and minutes; ensure follow-up on Superintendent/Board of Trustees' decisions and requests for administration action items; facilitate arrangements for the Superintendent & Board members as needed, including travel, appointments with local, state, federal and elected officials
Screen, maintain and respond to a high volume of phone calls, emails and in person requests/visits from a variety of stakeholders; Respond to substantive inquiries that require research or technical knowledge and possess the ability to tactfully refer items to the appropriate office/ departments
Review incoming day to day correspondences for Superintendent/Board review/action; retrieve appropriate background information to attach to the correspondence or other materials; note details pertinent to the Board member's, and/or Superintendent's calendars as needed for current and future attention
Assist with preparation of materials for Board meetings and collaborate with Superintendent and Board members to prepare agendas, notices, and meeting materials
Consult with staff attorney and/or district legal counsel when directed
Collect data and direct preparation of informal and formal dockets and packets for Board of Trustees meetings
Maintain Superintendent and Board of Trustee training hours, requirements, certificates, licenses, and certifications
Organize and maintain filing systems, according to standard filing procedures, local, state, and federal guidelines and a log of staff assignments
Purchase supplies, maintain, and stock office supply closet, kitchens and copier
Collaborate with IT department for meeting support to ensure equipment is operational
Reconcile absences in theAbsence Balance System for Superintendent's office and Executive team
Function well in a high-paced environment, while performing additional duties as assigned the Board of Trustees

Additional Information

Attendance at conferences and professional development is required. Work involves everyday risks and discomforts which required normal safety precautions when operating equipment or performing job duties.
This position requires travel to various campuses, district meeting sites and conferences/meetings in and out of state. This position may require the employee to work some evenings and weekends. Attendance at evening events, such as School Board meetings is required.

Qualifications:

High School diploma or GED
Bachelor's degree preferred
Minimum of 5 years of clerical experience with progressive growth supporting C-level executive and Board preferred
Maintain an elevated level of confidentiality concerning district, personnel, customer, and vendor information
Strong communication, interpersonal and organizational skills
Advanced Proficiency skills in the use of a Microsoft Office (Outlook, Word, Excel, PowerPoint) and rapid data entry keyboarding functions
General office skills including photocopying, faxing, scanning and filing
Ability to work well under pressure with constant deadlines and frequent interruptions
Ability to interact with top level officials and all staff with tact, courtesy and diplomacy
Ability to work flexible hours as dictated by the needs of the Board for projects and meetings

Salary Range:

$59,345 - $85,457
