POSITION SUMMARY
Provides administrative support services to the Director of Human Resources and Payroll Analyst. Facilitates recruitment and the on-boarding of new employees. Manages all personnel files and maintains records. Updates job descriptions and organizational charts. Assists with payroll and is a designated backup.
ESSENTIAL FUNCTIONS
Facilitates Recruitment
- Posts open positions, gathers job descriptions, advertises in appropriate locations.
- Receives and tracks employment applications.
- Schedules interview visits when required and makes all necessary arrangements.
- Manages ApplicantPool system.
On-Boarding New Employees
- Sets up new employees in the HR system.
- Ensures personnel forms are completed.
- Coordinates on-boarding process.
- Processes background checks.
Manages Employee Data
- Ensures that employee files are kept up-to-date.
- Manages employee verification of employment process.
- Creates reports for HR and other departments as needed.
- Ensures that documents, reports, accounts, and records are accurate and current.
- Ensures the HR Department is following the Document Retention Policy.
- Assists with yearly total compensation and benefits letters.
- Updates job descriptions on a continual basis.
- Updates organizational charts on a continual basis.
- Assists with monthly reconciliation of health & dental billing.
Payroll
- Serves as back-up for student, bi-weekly, and salary payroll.
Exiting Employees
- Processes all termination paperwork.
- Assists with COBRA benefits program.
- Ensures termination checklist is completed.
Assumes responsibility for related duties as required or assigned
- Ensures that work area is clean, secure, and well maintained.
- Updates skills as required.
- Completes special projects as assigned.

SKILLS & ABILITIES
Education: High school graduate required. Associate degree or higher in a business-related field preferred. Additional related coursework helpful.
Experience: Two to four years of previous experience in a Human Resources office required. Knowledge of standards and rules related to recruiting, FMLA, COBRA, unemployment and recordkeeping required.
Computer Skills: Advanced knowledge of Microsoft Office and HRIS software required. Ellucian Colleague experience preferred.
