The Office of Graduate Studies at Towson University is accepting applications for a full-time Program Administrative Specialist. Under general supervision, this position provides complex administrative support to the Dean and Associate Dean Graduate Studies. Work requires comprehensive knowledge of the Office of Graduate Studies and Graduate Student Association, budgeting, skill in working with issues related to policy, procedures, and confidential matters, and involves considerable participation in the work of the supervisor. Incumbents exercise discretion and judgment with considerable consequence of error.

Responsibilities and Duties

There are three main areas of responsibility for this position, which include:

Graduate Student Association (GSA) Management

• Gathers data for use in formulation of the GSA budget
• Monitors compliance of budget in case of audit for GSA travel funding, research awards, and professional development support
• Assists with supervision of GSA officers and transition of activities from year to year

Dissertation, Thesis, and Commencement

• Oversight for the workflow, formatting, and completion requirements for thesis and dissertations completed by graduate students; including guidance training, and administration of the final review prior to graduations
• Works with the Director of the Writing Center and staff to perform editing functions
• Handles student correspondence
• Provides excellent communication to students and advisors around completion of dissertations/thesis and details for commencement

Office of Graduate Studies Operations

• Runs reports on department’s financial operations; interacts with Peoplesoft Financials; works closely with the office staff, Dean and Associate Dean of Graduate Studies, and PBO.
• Range of specialized program support related to the day-to-day operations of OGS (student policies, appeals, interdepartmental communication)
• Suggests, recommends, and implements new or revised procedures, practices, or changes for the office

Beyond the primary areas of responsibility, the following are expectations of the position:

• Office support for new strategic initiatives to support recruitment and success of graduate students
• Attends and assists with graduate open houses, new graduate student orientation, and other events for current and potential graduate students.
• Receives and screens telephone calls and visitors; handles walk in questions and administrative emails. Independently handle procedural and substantive matters and inquiries which do not require technical knowledge or refer callers to others as appropriate
• Works with the Dean and Associate Dean to pick up other responsibilities to ensure the smooth functioning of the Office of Graduate Studies.

Telework may be available for this position up to two days per week following the completion of 90 days of service in good standing. 

Qualifications and Skills

Required:

• Bachelor's degree
• Four years of experience providing administrative support
• Knowledge of Microsoft applications especially Word, Excel, and Outlook
• Sufficient level of expertise involving technology
• Excellent customer service and interpersonal skills
• Ability to communicate effectively
• Ability to understand and follow instructions
• Project a professional and positive image of the unit and institution
• Ability to plan, organize and prioritize tasks
• Experience with document review and a good eye for details to ensure guidelines are followed

Preferred:

• Knowledge/experience with PeopleSoft, Stratus, data queries, and budgeting

Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

Salary and Benefits

$49,619 annually and full University benefits that include annual leave, up to 15 holidays, personal and sick days; excellent health, life, and retirement plans; and tuition remission.
