Job Summary

Under general supervision, provides executive level secretarial and administrative assistance to the Assistant Vice President (AVP) for Student Health and Wellbeing. The Executive Administrative Assistant I will focus on the administration for the Office of Student Health and Wellbeing, overseeing organizational systems, supervising the flow of documents and communication through the AVP’s Office, assisting in scheduling and coordination of the AVP’s calendar, providing information on policies and procedures, and contributing in varied ways to the effective operation of the office, subdivision, and in support of other staff. 

Responsibilities and Duties

• Represents the Office of Student Health and Wellbeing, receives and screens calls for the Assistant Vice President. Independently handles procedural and substantive matters and inquires or refers callers to others as appropriate. Opens and screens incoming correspondence, handles appropriately. Acts as an intermediary for the AVP, interacting with officials, staff at all levels, students, and the public. Provides information requiring comprehensive knowledge of institution policies, procedures, and special issues.
• Schedules appointments and meetings for the Assistant Vice President. Maintains and coordinates the AVP’s calendar using Microsoft Outlook. Makes arrangements and coordinates all details for meetings. May attend some meetings and prepare notes. Arranges travel plans for the AVP for local, state, and out-of-state travel. This may involve making airline and hotel reservations, car rentals, and conference registrations. Completes and submits travel authorizations, expense vouchers, and other necessary follow-up and record keeping.
• Serves as the administrative liaison to the AVP’s direct reports. Assists with timesheet management and other University and Divisional processes. Posts TU Today and Event Calendar items for the AVP and reporting departments.
• Provides leadership of administrative assistants, student workers and graduate assistants in the subdivision of Student Health and Wellbeing to ensure common understandings, appropriate training, and response to needs and the effective sharing of information, including organizing monthly meetings of the group if needed.
• Project work as assigned by the AVP. Researches, analyzes, and summarizes information and materials independently and communicates findings. Composes and reviews correspondence. Supports the coordination of other projects, such as committee reports, surveys, grant proposals and other projects as they emerge.
• Exercises independent judgement and initiative in establishing and maintaining complex and sensitive filing systems for the AVP. Understands and has the facility with typical office technology, including, but not limited to Microsoft Office and cloud-based financials. Able to find information through the use of technology.
• Serves as office manager for the Office of Student Wellbeing, addressing supply management, housekeeping needs, equipment repair, and maintenance issues. Assists in  preparing and administering the departmental budget, including entering documents, approving, and retrieving data. Serves as the key and telephone coordinator.

Qualifications and Skills

Required:

• High School Diploma or equivalent.
• Four years of experience providing administrative support.
• High levels of reading, writing, and speaking ability.
• Comfortable with numbers in budgetary contexts.
• Familiarity with software programs (including MS Office) and willingness to continue learning.
• Strong sense of professional behavior and effective techniques for dealing with email, phone callers and direct contact with faculty, staff, students, and others who may interact with the AVP’s Office.
• Strong organizational abilities combined with flexibility.
• High levels of reliability and commitment to position.
• Willingness to continuously learn new software and office processes.

Preferred:

• Bachelor's degree
• Previous experience in Higher Education and/or health, counseling or wellbeing.

Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

Salary and Benefits

$48,105 annually and full University benefits that include annual leave, up to 15 holidays, personal and sick days; excellent health, life, and retirement plans; and tuition remission.
