ABOUT THE OPPORTUNITY

•    Organize and prepare for meetings, including gathering documents and attending to logistics of meetings.
•    Assistance with budget process, including purchase order creation and management. 
•    Participating and working in collaboration with a wide variety of staff members on special assignments and projects.
•    Coordinate travel arrangements and expenses for Legal Leadership Team.
•    Managing matter creation, monitoring status, and report creation using Legal Tracker. 
•    Handling of external communications, both verbal and in written correspondence, from legal counsel, court officials, regulators, vendors, customers and other stakeholders.
•    Preparing responses to correspondence containing routine inquiries, making referrals to appropriate staff as required and serving as focal point for follow-up actions.
•    Support the preparation, execution and distribution of secretary’s certificates and other varied certificates and/or attestations re officers, addresses, ownership, etc.
•    Notarize document as needed and assist in obtaining apostilles when necessary.
•    Supporting litigation and pre-litigation matters from intake to settlement.
•    Management of legal hold process.
•    Provide scheduling assistance to Legal Leadership Team, as needed. 
•    Assist with department or headquarters-wide activities.
•    Other duties, as needed.

ABOUT YOU

•    3 to 6 years of experience as an in-house or law firm executive assistant or paralegal
•    Excellent organizational skills and strong administrative skills
•    Bachelor's or Associate’s degree desired
•    Ability to manage complex and varied workload, including prioritization of work
•    Excellent written and verbal communications skills
•    Ability to maintain high level of confidentiality and discretion
•    Professional demeanor and excellent written and verbal communication skills
•    Ability to work both independently and as a member of a team
•    Ability to remain flexible in potentially unpredictable situations, and adapt to various assignments and workflow
•    Proficiency with all Microsoft  Office applications
•    Familiarity with Legal Tracker, Exterro (Zapproved) Legal Hold, SAP, hCue, PO systems and Sharepoint is a benefit

COMPENSATION

The pay range for this opportunity is from $76,300 to $103,050 + performance-related bonus + benefits.

This range represents the anticipated low and high end of the salary for this position. This role is also eligible to receive an annual bonus that aligns with individual and company performance. Actual salaries will vary and are based on factors such as a candidate’s qualifications, skills, competencies, and location.
