Job description
WorldVia is currently seeking a creative and experienced Events Specialist to join our team. In this role, you will be responsible for our travel events and experiences. You will work closely with our team to plan and execute engaging and successful events that drive brand awareness, lead generation, and customer engagement. This role requires a creative and strategic mindset, as well as excellent project management and communication skills.
Responsibilities
- Plan, coordinate, and execute all aspects of events, including venue selection, catering, transportation, audiovisual setup, and event marketing from 15-350 attendees
- Develop and manage event budgets, ensuring cost-effective solutions and maximizing ROI
- Coordinate with internal teams and external vendors to ensure seamless event execution
- Manage event timelines, logistics, and staffing requirements
- Source and negotiate contracts with suppliers, ensuring competitive pricing and quality services
- Monitor event industry trends and suggest creative ideas to enhance event experiences
- Conduct post-event evaluations to identify areas of improvement and implement necessary changes
- Proactively anticipate and resolve any issues or challenges that may arise during events
- Stay updated with relevant regulations and obtain necessary permits/licenses for events, including health and safety compliance
Requirements
- Proven experience as an Events Specialist or similar role, with a successful track record of organizing high-quality events
- Strong project management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment
- Excellent interpersonal and communication skills, both written and verbal
- Attention to detail and ability to multitask effectively
- Experience in event planning software
- Proactive and solution-oriented mindset, with the ability to think creatively and handle challenging situations
- Strong negotiation and vendor management skills
- Flexible schedule and availability to work evenings and weekends, as required
- Ability to travel, as needed
- Flexibility to travel and work outside standard business hours if required
