Position Summary:
Rutgers, The State University of New Jersey, is seeking a Clinical Services Representative I for the Office for Clinical Affairs within the Rutgers School of Dental Medicine ( RSDM ). Under general supervision, this position carries out a variety of front desk services related to cash collection and patient registration. The Clinical Services Representative I posts payments, enters and updates patient demographic and insurance information and collects co-payments. This position serves as receptionist for Screening area and any reception area of the Rutgers School of Dental Medicine, Office for Clinical Affairs and makes patient appointments and maintains patient schedules and records as they relate to clinical activities.
Among the key duties of this position are the following:
- Registers patients presenting for Screening and treatment at Rutgers School of Dental Medicine. Enters all biographic and insurance information into axiUm. Verifies patient identification as required by RSDM policies. Audits patient demographic data, address and telephone numbers.
- Obtains a copy of the patient Medicaid/Medicaid HMO card monthly, verifies and updates information as needed.
- Verifies patient private insurance eligibility.
- Ensures that the designated insurance copayment is collected before patient is seen.
- Responsible for the collection and posting of patient payments. Ensures that patient payments are recorded properly. Prepares computer receipts for patients.
- Keeps axiUm appointment book filled with patients as directed by Screening doctor.
- Responds with good customer service to patient inquiries or transfers, as appropriate, to a financial coordinator.
- Prepares and balances receipts daily for the bank deposit. Endorses all checks with RSDM stamp and ensures that deposit is placed in a secure lock bag.
- Proves cash collections daily according to the procedures established by the Head Cashier.
- Directs patients to the correct area of the Dental School (Special Care Treatment Center, Pediatric Dentistry, Oral Med, etc.).
- Informs students of patient arrivals. Obtains patient messages for students.
- Reviews list of patients scheduled and outstanding balances to ensure that we are in compliance with RSDM Standard Operating Procedures and that patient is not delinquent.
- Serves as a liaison between patients and financial counselors to ensure that payments are collected at time of service.
- Responsible for opening the front desk reception areas each morning and securing the areas at the end of day.
- Assists in the review of patient charts to ascertain patient accounts status. Also, performs chart audits, as requested.
- Answers telephone, screens calls and takes messages.
- Performs other related duties as assigned.
Minimum Education and Experience:
- Three (3) years of progressively responsible clerical experience required, of which at least one (1) year must have been in a business setting involving billing and collection or medical insurance activities.
