THE POSITION

The Executive Assistant is a key player in providing comprehensive administrative support to the Chief Executive Officer (CEO) and Chief Philanthropy Officer (CPO). This position requires a professional with the ability to manage diverse responsibilities, uphold confidentiality, and foster positive relationships. The role involves meticulous attention to administrative functions, supporting executives and Boards of Directors, donor and gift management, communication on behalf of the executives, and a range of administrative and project responsibilities. The Executive Assistant will also extend support to unrelated departments and actively contribute to organizational and Foundation activities, ensuring smooth operations and fostering positive relationships within and outside the organization.

HOURS : This position is 8am – 5pm, Monday through Friday with varied hours for events.

REQUIREMENTS:

RESPONSIBILITIES:

  1. ADMINISTRATIVE SUPPORT: 
    1. Efficiently manage and prioritize the calendars, appointments, and meetings of the CEO and CPO. 
    2. Prepare, organize, and distribute reports, documents, and presentations, as needed.
    3. Take charge of coordinating travel plans, accommodations, and itineraries as per requirements.
    4. Maintain and manage all board members’ information.
  2. MEETING COORDINATION:
    1. Schedule and organize executive meetings, including the preparation of meeting materials and minutes.
    2. Take charge of the scheduling and execution of the meetings of the Board of Trustees and the Foundation Board, with attention given to the needs of board members. 
  3. COMMUNICATION:
    1. Serve as the primary point of contact, communicating on behalf of the CEO and CPO with staff, donors, board members, and community partners.
    2. Handle inquiries and communications with professionalism, ensuring timely and accurate responses.
    3. Model the mission, vision and values of Dow Rummel and the Foundation.
  4. FOUNDATION COORDINATION:
    1. Assist in the development, coordination and completion of fundraising activities, donor relations, and events.
    2. Manage all tasks related to receiving, acknowledging, and tracking donor gifts and pledges. 
    3. Maintain the integrity of the donor database and its donor and gift records.
    4. Develop reports, mailing lists, correspondence, and other relevant information.
    5. Work collaboratively with other departments in the completion of various foundation processes, tasks, and activities.
    6. Update information on foundation web pages and social media networks.
  5. PROJECT MANAGEMENT:
    1. Collaborate in coordinating special projects, initiatives, and events under the guidance of the CEO and CPO.
    2. Monitor and follow up on action items, ensuring deadlines are met and projects stay on course.
  6. ADMINISTRATIVE OVERSIGHT:
    1. Screen visitors, phone calls, emails, and physical mail.
    2. Maintain confidentiality of sensitive information.
    3. Prepare and submit expense reports on behalf of the executive.
  7. COLLABORATION:
    1. Work closely with other administrative staff to ensure seamless operations and coordination.
    2. Offer support to the executive team, contributing to a collaborative work environment.
