Job description
Moravian Academy is seeking a dedicated, friendly, and outgoing administrative assistant to support the Beginning and Lower School office. This person will take primary responsibility for managing office needs, working closely with the Director and Assistant Directors of the Historic Downtown Campus, faculty, staff, students, and parents. The successful candidate primarily supports preschool-grade 5, however, will assume additional responsibilities as needed for the entire Historic Downtown Campus.
This is a twelve-month position with hours from 7:30 a.m. - 3:30 p.m.
The Administrative Assistant reports directly to the Director of the Historic Downtown Campus.
Essential Functions:
- Set a warm, calm, and welcoming tone for the Historic Downtown Campus.
- Serve as the receptionist, including greeting and directing visitors and answering or returning phone calls.
- Send email communications through blackbaud to parents, including emails on behalf of the Director.
- Assist in managing professional calendars, including field trips, school-wide events, assemblies, after-school programming, and google calendars for the Director and Assistant Director.
- Assist the Director of Extended Care with daily attendance documents, field questions from parents, and communicating with staff.
- Coordinate accurate and timely recording of daily attendance.
- Manage student records through online database, Blackbaud, including report cards, class schedules, attendance records, and contact information.
- Assist the School Nurse with general first aid and triage.
- Keep inventory of supplies, office & classroom, and coordinate purchasing requests with the Business Office.
- Manage PA state funding allotment annually.
- Oversee scheduling for Parent Conferences (3 times per year)
- Coordinate Substitute Teachers and manage teacher coverage needs from preschool-grade 8 faculty

Minimum Requirements
- Previous office experience; preferably in an independent school or similar setting
- Associate’s degree, Bachelor’s strongly preferred
- All necessary background clearances
- Proficient technology skills: Google suite, Word, Excel, any type of database
