Job Summary
The Benefits Coordinator, under general supervision, is responsible for responding to employee questions and inquiries regarding U.S. and Canada employee benefit programs (both union and non-union) and providing assistance with disability, leave, health, life and retirement plans and prepares appropriate documentation and processes necessary paperwork. Acts as a liaison between service providers, HR, Supervisor/Manager and Payroll Personnel for company benefit programs and systems. Responsible for working with consultants and benefit providers to ensure adherence to plan documents and compliance with government regulations and paid leave programs as they pertain to MTI employees and benefit programs. Acts as first point of contact employee inquiries and requests.
Primary Duties and Responsibilities
- Acts as liaison between employees, HR resources, Supervisors/Managers, disability, leaves, and workers compensation insurance providers, and various plan administrators to process and track disability, ADA, Paid Leave Programs, and FMLA claims in compliance with government regulations and MTI policies.
- Reviews, researches, and monitors upcoming legislation pertaining to MTI policies and employee related benefits, and paid leave laws to ensure MTI maintains compliance.
- Provides guidance to employees on submitting claims and working with physicians and insurance providers to ensure timely submission and processing of disability, paid leave programs, ADA and FMLA paperwork.
- Monitors employee disability and workers compensation claims, and updates supervisors, Human Resources and Payroll personnel on claim status for accurate coding of disability/leave time in time and attendance system.
- Works with employees and tracks payments for benefits while on approved leave to ensure continuance of coverage.
- Monitors long term disability claims and processes long term disability correspondence to employees as required.
- Assists employees with benefit enrollment process (new hires and annual open enrollment), providing guidance on use of automated enrollment system and supporting document requirements for qualifying event changes (i.e., marriage, birth, divorce, etc.)
- Provides guidance to employees on retirement process and provides applicable retirement information packet to employee.
- Completes applicable retirement activities checklist with employee(s) forwards retirement paperwork to HR Shared Services, Director of Comp & Benefits, Senior Benefits Coordinator and Retirement Plan Third Party Administrator.)
- Processes educational assistance program forms and reimbursements based upon MTI guidelines.
- Monitors new hires benefits enrollment and follows up as necessary to ensure completion.
- Processes Death Benefits as required (i.e., Letter of Condolence, Review of Basic and Supplemental Life Insurance, Retirement Plan, Stock Options, Savings Plan, Flexible Spending Plan, Health Plan, etc.)
- Assists with daily questions related to MTI U.S. and Canada Benefits.
- Responsible for administration of Canada Supplemental Health Benefits including oversight of new hire enrollment and termination process, ongoing benefits administration, and third-party administrative oversight as well as the annual renewal process.
- First point of contact for Union facility benefit plans, processing all short-term disability/ADA/FMLA/Paid Leave programs and workers compensation claim paperwork and acting as liaison between employee, Plan Administrator and Sr. Benefits Analyst.
- Works directly with Payroll Department personnel to manage various disability plan pay and benefits during periods of short-term disability, ADA, Paid Leaves, and FMLA absences.
- Provides guidance to Union employees on internal retirement process requirements and manages retirement requests as needed, ensuring clear communication and paperwork flow between employee, Plan Administrator, and Sr. Benefits Analyst.
- Acts as liaison between union plant employees and Plan Administrator for new hire and annual benefit enrollment process.
- Notifies/coordinates death benefits with union benefit Plan Administrator.
- Assists on special project requests/information as needed from union benefit Plan Administrator
- Processes and tracks union facility layoff/recall periods according to established company procedures

Education:
- Bachelor’s degree in Human Resources Administration or Management
Knowledge, Skills & Abilities:
- Three to five years’ experience in Human Resources; proficiency in Microsoft Office, PeopleSoft, Lotus Notes and Oracle preferred. Must possess a solid understanding of HR practices across the employment lifecycle including - recruiting, hiring, benefits administration and retirement.
- Must be able to read, write, listen, speak, and understand English, have the ability to work independently, be dependable, maintain confidential information, integrity and composure at all times, communicate effectively with all individuals internal and external to the organization, be adaptable/flexible to changing work assignments, analytical, organized and detail oriented.
- Must be able to multitask, compose correspondence and other documentation in a professional manner, express ideas constructively, use judgment in decision making and use creativity, persistence, persuasion and negotiation when necessary to accomplish necessary duties. Work Hours:
- The schedule is typically the day shift. However, employee must have ability to work the shift/number of hours in which duties need to be accomplished, including overtime, holidays and weekends, as necessary.
Training:
- A new employee hired to perform the duties of this position is required to be provided New Employee Training by a qualified individual or through the online training system. Additionally, an employee must be provided further training if a job duty/task has changes that will affect the health and safety aspects of that employee’s position.
- Additional refresher safety training will be required as management deems appropriate or as dictated by government regulations.
