Job description

STATEMENT OF DUTIES:

Performs, according to standard office procedures, a variety of complex clerical duties requiring a considerable degree of decision making and a thorough knowledge of the functions of the City Clerk’s Office.

Duties include but are not limited to processing and managing all public event and special alcohol license applications received by the City Clerk’s Office, and preparing them for review by the City Council and the Licensing Commission. Preparing business license applications and other meeting documents for the City Council, and processing the outcomes of the Council’s actions. Providing clerical support to the Licensing Commission’s Administrative Assistant as needed, including preparing alcohol, marijuana, and other license applications for the Licensing Commission, and processing the outcomes of the Commission’s actions. Providing clerical support to the Municipal Hearing Officer as needed, including scheduling hearings, communicating with appellants, and recording decisions. Providing walk-up, telephone, mail and internet customer assistance on permanent records, including births, deaths, and marriages, as well as dog licenses, business certificates, business licenses, ZBA and Planning Board decisions, noncriminal ticket violation payments and appeals, and other documents. Collecting, recording and transmitting to the Treasurer all appropriate fees and revenues. Sorting and routing City Hall’s incoming daily mail, and processing City Hall’s outgoing daily mail. Notarizing documents for the public. Performing other duties as assigned by the City Clerk.

WORK ENVIRONMENT:

The work environment involves everyday discomforts typical of offices, with occasional exposure to outside elements. Noise or physical surroundings may be distracting, but conditions are generally not unpleasant.

Physical and Mental Requirements:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the position’s essential functions.

Physical Skills

Typically, little or no physical demands are required to perform the work. Work effort principally involves sitting to perform work tasks, with intermittent periods of stooping, walking, climbing, and standing. There is also daily lifting of objects such as books, office equipment and computer paper (5-20 lbs regularly, and up to 30 lbs). On occasion, manipulating and climbing a 10-foot ladder is needed to access records that are stored on high shelves in a vault.

Motor Skills

Duties are largely mental rather than physical, but the job may occasionally require minimal motor skills for activities such as moving objects, operating a telephone system, computer and/or most other office equipment, typing and/or word processing, filing, and sorting.

Visual Skills

Visual demands include constantly reading documents for general understanding and for analytical purposes.

Salary: $48,726.21 annualized, plus benefits
