About the position:
The Accounts Payable Manager will be responsible for recording vendor payment amounts and for preparing accurate and timely payments to the company's vendors. This AP position works almost exclusively in accounting software and candidates must be comfortable and proficient in processing in an automated environment. This position is based in our Mason, OH office.
What you will do:
- Records the payment amounts due and related accounting general ledger account classification in the company's accounting software with the receipt of each vendor invoice.
- Routes all vendor invoices to the appropriate manager for approval based upon the company's delegation of spending authority policy and related guidelines.
- Determines the payment date for each vendor invoice and prepares a bi-weekly payment file of vendor invoice payments for management approval and enters the file details into the bank payment system.
- Prepares wire transfers in the bank payment system-based management approved vendor requests.
- Accepts, maintains an accurate list, and verifies vendor payment information including related federal ID numbers and other W-9 data.
- Performs a three-way match for company manually issued purchase orders for goods and services. Review and, if necessary, reconcile accounting system generated purchase orders.
- Evaluates whether either sales tax or telecommunications taxes on individual invoices are appropriately payable based upon company exemption criteria. Provides exemption documentation when appropriate and resolves any inappropriately invoiced sales or telecommunications tax.
- Reconciles balances due, individual invoice amounts and payments for each vendor account. Communicates directly with vendors to resolve incorrect data or inaccuracies.
- Assists the accounting and management team with the diligent implementation and execution of the company's control environment.
- Monitors and reports to management any attempted fraudulent payment requests.
- Assists the accounting team with ad hoc projects and other duties as assigned.
- Provides proactive suggestions for the improvement, efficiency and control of company payment processes and procedures.
- Collaborates with other departments to confirm accuracy of vendor reporting and invoices.
Qualifications :
- Must have 3+ years of recent Accounts Payable experience.
- High School Diploma/GED.
- Bachelor's degree in business, accounting or similar degree is preferred but not required.
- Certified Accounts Payable Professional (CAPP) certification is preferred but not required.
- Must be reliable, extremely trustworthy and maintain the highest level of integrity.
- Must be proficient in Microsoft Office Suite or related programs. Must have experience with pivot tables and using the VLOOKUP formula in Excel.
- Can master and quickly become proficient with the use of the company's accounting software systems.
- Microsoft Business Central experience a plus
- Excellent organizational skills and attention to detail.
- Ability to maintain and identify the need for confidential and meticulous records.
- Forcefully but amicably communicate with and resolve discrepancies with vendors.
- Can identify fraudulent payment requests, purchase order requests, documents to sign that might corrupt the integrity of the company's payment, information systems and data.
