Position Overview: We are seeking a detail-oriented Invoicing Specialist who is adept at utilizing TRACK software to manage invoicing processes efficiently and accurately. The ideal candidate will possess strong organizational skills, attention to detail, and a comprehensive understanding of invoicing procedures.

Responsibilities:

  1. Utilize TRACK software to generate and distribute invoices to clients/customers accurately and promptly.
  2. Verify the accuracy and completeness of invoicing data, including pricing, quantities, and discounts.
  3. Coordinate with internal departments to obtain necessary information for invoicing purposes.
  4. Review contracts and agreements to ensure compliance with invoicing terms and conditions.
  5. Process invoicing adjustments, refunds, and credits as needed.
  6. Investigate and resolve invoicing discrepancies and billing inquiries in a timely manner.
  7. Maintain up-to-date records of invoicing activities, including payment status and outstanding balances.
  8. Prepare and distribute monthly statements and reports related to invoicing and accounts receivable.
  9. Assist with month-end closing activities and reconciliations.
  10. Collaborate with the finance team to streamline and improve invoicing processes and procedures.

Qualifications:

  1. Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred.
  2. Proven experience as an Invoicing Specialist with proficiency in using TRACK software.
  3. Thorough understanding of invoicing principles, procedures, and regulations.
  4. Strong attention to detail and accuracy in data entry and record-keeping.
  5. Excellent analytical and problem-solving skills.
  6. Ability to prioritize tasks and manage time effectively to meet deadlines.
  7. Strong communication and interpersonal skills, with the ability to collaborate effectively across departments.
  8. Proficiency in Microsoft Office applications, particularly Excel.
  9. Experience working in [industry/sector] is a plus.
  10. Ability to adapt to changing priorities and work independently as well as part of a team.
