Summary:
IDOC is recruiting for a Program System Specialist – Automated in our IT Department. The incumbent will provide end-user support and back-end administrative tasks for IDOC's automated systems, such as Atlas, EDOC, SharePoint, and Laserfiche. This includes analyzing, planning, coordinating, monitoring, modification, and implementation of IDOC's automated systems; provides training and consultation; performs related work.
Responsibilities:
- Administration of automated systems.
- Analyze, interpret, and monitor federal and state regulations/policies for system impact and identify and recommend implementation methods, procedures, and time frames.
- Build expertise in automated systems to support business partners.
- Identify and recommend enhancements and modifications to systems.
- Determine and monitor priorities for system enhancements.
- Participate on disaster recovery, interface planning, and other committees.
- Participate in system testing & build verification.
- Provide Atlas end-user support (researching, identifying, and resolving issues; providing technical assistance).
- Research O365 tools – provide recommendation and assistance.
- Create & track service desk tickets and vendor support tickets.
- Translate technical material into easily understandable oral and written communications.
- Provide information to and liaison between field staff, management and IT staff.
- Document system guides.
- Develop testing documentation.
- Meet regularly with business partners to discuss & capture needs.
Minimum Qualifications:
- Some knowledge of training methods. Typically gained through successful completion of coursework or workshops of 16 hours or more covering communication concepts, learning styles, course design, and presentation skills. It may also be demonstrated through six months of experience presenting formal training sessions to groups.
- Experience interpreting and applying laws and regulations. Typically gained through at least six months experience interpreting and applying laws and regulations.
- Experience analyzing automated system output data and data inquiry. Typically gained through at least six months of work experience analyzing automated system output data and data integrity.
- Experience researching, identifying, and independently resolving automated case processing problems. (Include detailed information about your problem-solving activities and recommended corrective action.) Typically gained through at least six months of experience demonstrating independent resolution of automated case processing problems through complex analysis corrective actions. Problem solving activities may include review of screens and system generated transaction and error reports; compiling documentation of actions and results following processing; follow-up actions; system manipulation.
- Experience providing technical assistance to automated systems users. Typically gained through at least six months of work experience in a help-desk role for an automated system. Responsibilities must have included providing detailed technical assistance to program users in areas specific to an automated program such as keying/coding or problem solving. Include any additional experience (and the length of time where this was a job requirement) you may have independently resolving automated processing problems and assisting others in the use of program(s) involved.
- Experience translating technical material into easily understandable oral and written communications. Typically gained through at least six months of experience in a program to have gained complete knowledge of the variety of programs involved. Some typical examples would be: experience working with clients explaining how laws, rules and regulations apply to their circumstances (experience should include oral and written responses to client inquiries); speaking before groups explaining program requirements; one-on-one training of new program users; experience providing technical assistance to program users; preparing written responses to requests for program information; preparing written training material.
