General Statement of Duties This vacancy is open until filled. This 12 month/260 day position will provide direct administrative and clerical support to the Chief of Staff and the Office of Policy and Constituency Service.
Answers phones; assists constituents and staff with various requests; supports the administrative functions of the Office
Demonstrates strong ability to read, spell, proofread, organize, listen, understand and follow directions and write clearly and effectively
Demonstrates ability to interpret written materials and to communicate verbally
Learns the policies, procedures and services provided by the administrator to whom assigned
Proficiently uses a variety of computer programs to plan and organize work, including Microsoft Office (Word, Excel, Outlook, Entourage, Powerpoint), Google Suite, Oracle and other county-wide programs
Is self-directed in achieving department goals, working efficiently with many interruptions, and making independent judgements in accordance with established practices and guidelines while maintaining confidentiality of information
Establishes and maintains positive, effective working relationships with other employees and the general public in person, in writing and on the telephone
Essential Duties - Conserves administrators' time by reading, researching, and routing correspondence; drafting and editing letters and documents; collecting and analyzing information;
- Maintains stakeholder confidence and protects operations by keeping information confidential
- Screens calls, visitors and mail for the Chief of Staff and Assistant Director of Policy and Constituency Services
- Proactively identifies department and individual needs and brings forward constructive solutions
- Maintains the calendar of the Chief of Staff and assists with scheduling matters
- Maintains ledger of accounts and bill pay
- Supports formal and informal professional learning for administrative assistants, particularly as it relates to variances and Principal Memos
- Manages the preparation and distribution of the Principal Memo process by formatting, proofreading and preparing for review by the Division Leadership Team.
- Maintains the data that supports the Educational Registry Application (ERA) in SSWS throughout the year and annually prepares the ERA for the Division
- Manages the Class Size Stipend process twice per year, collaborating with other offices and schools to ensure qualifying teachers are compensated in a timely manner
- Supports the variance process, reviews requests, and communicates with parents and school offices as necessary
- Supports the administrative functions of the policy office by preparing boilerplates, making changes in BoardDocs following Board of Supervisor action, and providing administrative support to the policy committee.
- Monitors the receipt of approved variance requests from schools and updates student records with variance codes in Powerschool
- Supports the work of the School Calendar Committee
- Assists with FOIA requests
- Provide additional administrative and project support to the Chief of Staff as needed
- Prepares other periodic reports to the prescribed timetable
- Orders supplies for the office as needed
- Preforms other duties as assigned
Minimum Qualifications High school diploma or equivalent; typing, good communication and public relation skills; good organizational skills. Five years experience as an Administrative or Executive Assistant. Knowledge of Public School Operations.
Additional Information This 260 day (12 month) position is located at Central Office-School Administration Building in the Office of the Superintendent. The minimum salary for this position is $47,788.27 or based on promotion policy for internal candidates.
