The Executive Assistant will provide executive support to our Co-CEO’s in a fast-paced environment, including maintaining and managing calendars, travel, itineraries, expense reports and projects (as directed). The Executive Assistant will be highly organized and will provide project and research support to the leadership team under the supervision of the Co-CEO’s. Specific responsibilities include, but are not limited to:
Schedule
- Coordinate the schedule of the Executive, including establishing and documenting all travel, meetings, conferences and appointments with the Executive and all parties involved.
- Maintain a clear, informative schedule on which the Executive can act.
- Facilitate interoffice communication and meetings between the Executive, staff and leadership.
Communications
- Triage email on behalf of the Executive. Organize and respond accordingly, as directed by Executive.
- Manage and document all verbal and written communications on behalf of and with the Executive.
- Track and file contacts, projects and mail correspondence to and from the Executive.
- Coordinate contact on behalf of the Executive, including drafting all necessary correspondence, invitations and meeting reminders.
- Record and distribute the minutes of Executive Committee meetings.
- Write letters and email communication on behalf of the Executive without errors.
- Maintain the accuracy and confidentiality of all information included in meetings and correspondence.
- Research and share industry-related news on behalf of Executive.
Miscellaneous
- Maintain, reconcile, research and provide timely filing of credit card reports on behalf of Executive.
- Assists other staff members in projects as needed and approved by the Executive.
- Research projects on which the Executive is working and provide summary reports.
- Provide research and preparation for the Executive prior to every meeting and trip.
- Provide proactive preparation for Boards on which the Executive sits and Chairs.

- 2+ years of experience in an administrative or client services function
- You must be ready, willing and able to be flexible as this is a fast pace organization and you will be supporting a role that takes on all different kinds of projects. You must be a team player, flexible and eager to learn.
