Job description
Events Coordinator Location Columbus, OH (Crosswoods area) :
Reporting to the Managing Director of External Affairs and Government Relations, this position is responsible for the planning, implementation, and execution of all external events and programming and supports all internal events. Supplies both internal and external customers.
Planning and Execution of ORHA Member Events, Signature Events, and Programs
- Working with the Mg. Dir. of XA&GR and the President & CEO, plan and execute logistical aspects of ORHA events, including site selection, program flow, onsite coordination, staff and guest travel. Major events currently include the ORHA Industry Awards Celebration, President's Council and ORHA Advocacy Golf Outing. Other events include our Local Restaurant Alliance and Community Dish Meetings, ORHA webinars, partner webinars, Legal Center Live, and Idea Factory. New events may be considered in the future and some current events may be transitioned or dropped.
- Working closely with the Mg. Dir. of XA&GR and the President and CEO, facilitate content development, confirm speakers and moderators.
- Collaborate with Mar/Comm and the Mg. Dir. of XA&GR and the President and CEO to develop messaging, communications strategies, target audience, and visual materials.
- Collaborate with the membership team and the Mg. Dir. of XA&GR to develop packages for event sponsors and support benefit fulfillment.
- Manage attendee registration prior to events and facilitate ORHA staff tasks onsite. Manage event follow-up, including a post event survey.
- Lead onsite execution for best-in-class events, including planning for audio/visual, registration, signage, etc.
- Coordinate assistance from contractors and Executive Assistant to the CEO & Office Manager, as required.
Special Projects, and Administrative Tasks
- Working with the Mg. Dir. of XA&GR and Mg. Dir. of Finance, oversee event budget planning, tracking, and reporting.
- Manage expense reports, performance goals and reviews, and annual and quarterly rocks.
- Provide monthly calendar updates to staff through staff meeting presentations and the calendar at a glance.
- Working with the Mg. Dir. of XA&GR, build event invitations and encourage staff participation in driving event attendance. Manage E&P attendance on Zoom, on social media platforms and other applicable platforms, and working with the Organization Growth Coordinator, in the ORHA event portal.
- Handle materials collections such as logos, speaker bios, and headshots for all events.
- Oversee post-event surveys including responsibility for creating surveys and compiling information.
Planning and Execution of Legislative Events and PAC Events
- Support the Mg. Dir. of XA&GR in all logistical aspects of each event including site selection, program flow, onsite coordination, staff, and guest travel.
- Support the Mg. Dir. of XA&GR and Mar/Comm to develop messaging, communications strategies, target audience, and visual materials.
- Manage attendee registration prior to the event and facilitate ORHA staff tasks onsite.
Board of Directors Committee and Planning Support
- Work with the President and CEO and the Executive Assistant/Office Manager on site selection, meeting logistics, catering, and tech needs.
- With the Mg. Dir. of XA&GR, act as staff liaison for the Events Committee to confirm topics, recruit sponsorship and drive event attendance.
- Working with the Executive Assistant to the CEO and the Organization Growth Coordinator, manage BOD scorecards.
- As needed and directed by the Mg. Dir. of XA&GR, fulfill other duties in furtherance of ORHA goals and objectives.
Work Experience + Requirements
- Experience with project management or event planning desired.
- Strong organizational skills, attention to detail, ability to prioritize and re-prioritize, self-directed.
- Advanced Word, Outlook, PowerPoint and Excel knowledge a must, familiarity with AMS / database management desired.
- Bachelor's Degree in hospitality management, communications, marketing, or other related field desired.
Job Type: Full-time
Pay: $45,000.00 - $50,000.00 per year
