Level: Staff
Starting base salary range is $45,000-$50,000. Individual compensation will be commensurate with the candidate's experience. Full benefits are available and the position is eligible for the Staff level annual bonus program.

Summary of Position:
We are seeking a Program Administrator to join our dynamic team. The ideal candidate will have experience in program fulfillment, exceptional organizational skills, and the ability to manage various administrative tasks efficiently. This individual should be self-motivated with strong time and task management abilities.
Reporting to the Program Director, the Program Administrator will serve as a liaison between internal stakeholders, track fulfillment tasks, and ensure successful program delivery. Responsibilities include coordinating and distributing program deliverables, scheduling events, maintaining calendars, communicating metrics with external partners, and supporting department operations.
Key Responsibilities:
PROGRAM FULFILLMENT - 40%
Collaborate with internal stakeholders to ensure timely delivery of program components.
Coordinate with external sponsors to collect necessary assets.
Assemble program metrics and distribute to clients upon completion.
PROGRAM SUPPORT - 30%
Maintain program calendars and distribute meeting resources.
Manage meetings and minutes for Board of Director meetings.
Schedule member events and liaise with vendors.
PROCESS SUPPORT - 20%
Manage registrations, reports, and inventory tracking.
Maintain performance data via CRM reports and spreadsheets.
Contribute to the development and review of Standard Operating Procedures (SOPs).
Identify opportunities for process improvement and automation.
INVENTORY MANAGEMENT - 10%
Maintain accurate inventory records and coordinate shipments for events.
Occasional travel to events or tradeshows may be required.
Qualifications:
Bachelor's degree or equivalent experience preferred.
At least 1 year of administrative experience, preferably in association management.
Proficiency in CRM systems, online collaboration tools, and Microsoft Office suite.
Strong communication skills and ability to prioritize tasks effectively.
Preferred skills include not-for-profit knowledge, client relationship management, and event coordination.
