Job description

1. Oversees all administrative aspects of the faculty life cycle including faculty searches, recruitment, retention, on-boarding, development, review, promotion, leaves, retirements, and departures for all ladder, non-ladder and research appointments per the Yale University Faculty Handbook (School of Nursing). 2. Reviews all reappointment, promotion and tenure case files for current and prospective ladder faculty, ensuring procedural consistency, timely and legal compliance.  3. Serves as the expert regarding the Recruitment and Appointments & Promotions (A&P) process for faculty at all levels including ladder, non-ladder, training, voluntary, and visiting. Oversees the recruitment and onboarding of faculty, including the development and coordination of new faculty orientation, relocation efforts, and additional administrative processes. 4. Serves as strategic partner, ensuring that YSN stays current with market demands for recruitment and retention of Nursing Faculty.  5. Serves as point of contact for faculty and staff regarding medical, administrative, child rearing, disability, and caregiver leaves. Communicates processes, policies, and eligibility with the Division Chairs, Specialty Directors, and Department Business Operations. Refers faculty and staff to  Yale Offices as appropriate. 6. Conceptualizes and participates in business process re-design and other quality improvement initiatives for the designated programs; facilitates implementation of approved modifications to ensure optimal use of organizational resources. 7. Visa Specialist: Oversees the increasingly complex coordination of visa requirements for faculty and trainees.  Ensures compliance with University and federal rules and regulations. Provides advice to OAPD staff and foreign scholars as needed. Serves as a point of contact with Office of International Students and Scholars (OISS).   8. Maintains an updated version of faculty resources and promotes their functionality to faculty. 9. Serves as primary liaison between the faculty search committee and the appointed division chairs to facilitate alignment between curricular needs and hiring efforts. 10. Works closely with YSN Division leadership and staff to ensure appropriate onboarding and offboarding of faculty. 11. Oversees office staff, ensuring adequate coverage and organizational effectiveness.  12. Manages visiting faculty, emeritus faculty, and courtesy faculty appointment process. 13. Oversees the processes for the collection of faculty data, including activities, publications, CVs and credentialling, and leave requests; manages processes for compliance requirements such as trainings, registered nurse licenses and board certifications, conflict of interests, and other required documentation. 14. Collaborates with the YSN Communications Office on faculty information for the YSN website and directory.  15. Implements the creation, revision, approval and application of faculty policies and procedures, including the YSN portions of the Faculty Handbook. Works with YSN Sr. Leadership to propose new or revised policies and liaises with YSN Committees and Provost's Office and the Office of General Counsel for execution. Communicates policies and their interpretation to faculty and staff. 16. Serves as primary liaison between YSN Business Operations, Research Administration, Institutional Research, Development, Student Affairs as well as Yale's Faculty Administrative Services, Office of General Counsel and the Provost's Office to ensure a holistic approach to institutional policies and goals.  17. Manages faculty affairs staff.



Required Skill/ability 1: Sophisticated understanding of the development and interpretation of faculty search, appointment and promotion policies and practices for all ladder and non-ladder ranks. Sound judgement and ability to maintain confidential information. Ability to handle challenging and complex situation and create thoughtful, informed and institutionally aligned responses.



Required Skill/ability 2: Proven ability to articulate ideas in verbal and written communications across a wide audience. Client-centered approach with demonstrated ability working effectively with faculty, staff and administrators. Ability to deal with complex issues and sensitive situations that require confidentiality and discretion.



Required Skill/ability 3: Demonstrated ability give presentations to faculty and staff regarding department policies and procedures as well as demonstrated ability creating and organizing the materials for presentation.



Required Skill/ability 4: Demonstrated ability to manage time and resources effectively, measure and monitor progress and redirect efforts as needed.  Demonstrated ability managing teams with a track record of successful supervision and development of staff.



Required Skill/ability 5: Ability to work both collaborate and independently in a productive manner; self-starter with strong work ethic.



Preferred Education: Graduate degree in nursing, higher education, or related field. Experience working with Nursing faculty and/or other health-related faculty and departments.



Work Week: Standard (M-F equal number of hours per day)
