Overview

The Department of German and the Princeton Center for Language Study (PCLS) are seeking a detailed and highly-organized Administrative and Events Coordinator to provide programmatic support to both units. This is a permanent, 10-month position reporting to the Manager of Finance and Administration in the German Department.

Responsibilities

• Provide administrative support for the Director of PCLS.
• Act as receptionist and facilities manager for PCLS.
• Plan and coordinate logistics for 40 or more events annually, ranging from small catered lunches to conferences and week-long workshops.
• Book travel arrangements and prepare detailed trip itineraries for visitors and faculty.
• Develop and execute an annual communications plan, which includes web, social media, and print publications, working closely with the Manager of German.
• Prepare purchase orders and honoraria for payment, and reconcile associated expenses in Prime and Concur.

Qualifications

ESSENTIAL QUALIFICATIONS

• Bachelorâ™s degree in a relevant discipline and 3 years relevant work experience
• Facility with Doodle, When2Meet, and other meeting poll tool
• Advanced skills in Microsoft Office and G Suite for word processing, spreadsheets, slide decks, and form
• Expertise with Zoom for scheduling and configuring virtual meetings or webinars
• Proficiency with Canva and Drupal
• Ability to switch between Mac and Windows operating systems with ease
• Ability to manage social media on Instagram, Facebook, etc.
• Excellent writing skills, suited to an academic environment
• Attention to detail and responsiveness to deadlines
• Problem-solving skills and a demonstrated ability to work with minimal supervision, with capability to interpret manuals and directions, learn new platforms, find resources, and ask questions
• Must be willing to work occasional evening, weekend, or holiday hours as required.

PREFERRED QUALIFICATIONS

• Superior-level knowledge of Microsoft Outlook calendar and email functions, including serving as a delegate for another user
• Prior experience working in a higher education or nonprofit environment
• Experience with University systems, including EMS, Prime, Concur and SharePoint
