Position Summary:
This position reports to the Associate Director of Financial Aid and assists with the creation and implementation of processes for financial aid programs developed through organizational partnerships which require individualized attention. This is a management-level position that serves as the technical and regulatory expert and resource for all specialized financial aid programs. Must be detail orientated and work with a high level of independence. Must independently manage assigned programs; develop PeopleSoft expertise to troubleshoot and maximize workflow efficiency; and create processes to support and improve new student enrollment, retention, and student service. Develop appropriate assessment and reporting tools for internal and external use. Ensure all federal state, and institutional regulations are met.
Essential Duties and Responsibilities:
Responsible for creating and maintaining financial aid packages for all students in specialized financial aid programs
- Responsible for creating and maintaining financial aid packages for all students in specialized financial aid programs including but not limited to: Athletics, DREAM .US, ECACE , Hope Chicago, iGROW; Rockford Promise; Consortium and Articulation Agreements with partner colleges and universities; other specialized state and/or federal scholarship/grant programs as needed; and new programs as they are developed.
- Determine individual student eligibility for federal, state, university and other aid programs in accordance with all applicable laws, regulations, policies, guidelines and other governing criteria.
- Manually package awards for students, applying all applicable regulations, budgets and formulas ensuring the correct setup of the large amount of required data in the student systems.
- Monitor participating students each semester or as needed for eligibility; maintain appeal processes and exceptions.
- Evaluate financial assistance received by students from outside agencies to ensure students are not over awarded; reduce financial aid awards to eliminate over awards.
- Produce and share reporting as required by each partnership.
- Generate invoices and billing statements as required; monitor cost centers for payment and reconcile accounts on a monthly and annual basis.
- Compile any required reporting data for each program to be distributed to the requesting organization.
- Develop continuous improvement processes to maximize available technology.
Serve as primary point of contact for partner organizations and participating students
- Serve as primary point of customer service for students who participate in specialized financial aid programs.
- Assist students and families with understanding how their program applies to eligible charges; provide general information about other financial aid options to support new and continued enrollment through standard communication and proactive outreach.
- Participate in events hosted by partner organizations or designed for students in specific programs.
- Serve as point of contact with partner organizations; serve as expert in executing and interpreting requirements and regulations listed in MOUs/legislation; monitor and implement updates to MOUs/legislation.
Support financial aid teams
- Provide support to financial aid processing and customer service teams during peak periods; assist with professional judgement reviews.
- Serve as a resource to other campus offices such as Bursar, Academic Advising, Financial Advising, Admissions, and other partners.
- Participate in special projects and committees as assigned.

- 30 semester hours equals one (1) year (12 months)
- Associate's Degree (60 semester hours) equals eighteen months (18 months)
- 90 semester hours equals two (2) years (24 months)
- Bachelor's Degree (120 semester hours) equals three (3) years (36 months)
B. Work experience managing office, business, or customer service/relations activities.
In addition to following experience:

3. One (1) year (12 months) of supervisory experience in higher education, student services, or closely related setting.
