The College of Liberal Arts & Sciences is searching for two Human Resources Generalists - one position will support HR functions in the School of Chemical Sciences; the second position will support HR functions for the School of Integrative Biology and School of Earth, Science & the Environment.
The Human Resources Generalist (HRG) performs a variety of HR related duties in support of faculty and administration within a designated portfolio.
Duties & Responsibilities
School of Chemical Sciences (SCS) Human Resources Generalist
Employment Processes (Hiring, onboarding, separating)
- Perform as HR Resource for post docs, visiting scholars, academic hourlies, extra help, and retiree rehires, providing end-to-end assistance for newly hired employees, current employees and separating employees, for all areas of personnel and payroll.
- Issuance and approval of offer letters for student hourly, graduate assistants and extra help; work within guidelines established by the appropriate collective bargaining agreement(s), following federal and state laws, along with campus and college policies and procedures.
- Assist with searches for Academic Professionals, Civil Service staff, and prepare search docs.
- Possess working knowledge of I-9 Tracker. Serve as backup I-9 manager.
Employee Record Management
- Serve as primary for internal appointment tracking systems, verifying accuracy of appointments.
- Serve as the primary processor for both Civil Service hourly and non-Civil Service hourly bi-weekly payroll.
- Maintain comprehensive files, ensuring personnel and supporting documents are scanned and saved appropriately, with discretion of confidential matters and documents.
- Advise, coordinate, and process appropriate visas for international faculty and academic visitors.
- Preparation of visa and Permanent Residency applications, labor certification, and record-keeping regarding employees' eligibility to continue to work. Communicate with scholars, faculty, employees, and International
- Student and Scholar Services to ensure correct procedures are followed.

- Assist with Service in Excess of 100% forms, where needed.
- Perform other duties as assigned to further the mission of the unit.

School of Earth, Society, & Environment (SESE) and School of Integrative Biology (SIB) Human Resources Generalist
Employee Record Management (employment transactions, payroll)
- Process all employee record transactions; process adjustments.
- Serve as the primary processor for bi-weekly staff and hourly student payroll.
- Communicate leave practices and policies; collect, review, and submit benefit leave usage for all employee groups; maintain records.
- Maintain comprehensive confidential records.
Employment Processes (Hiring, onboarding, separating)
- Coordinate and process Extra Help, Academic Hourly, Retiree Rehire, and Affiliate hires; may assist with HR search processes.
- Consult campus resources and collective bargaining agreements on appropriate salary minimums and ranges for offer letters.
- Provide guidance on policies and procedures related to work authorization including processing visa requests and green card processing and paperwork; monitor eligibility dates; may assist with work authorization processing.
- Facilitate special employment cases such as notice of non-reappointments and retention cases.
- Conduct the onboarding process for new hires.
- Coordinate separation processes.
Labor & Employee Relations
- Provide guidance to units on applicable collective bargaining agreement language, policies and rules and Provost Communications.
- Provide guidance for leaves of absence and Family and Medical Leave Act requests.
- Provide guidance on policies related to Ethics, Title IX, ANCRA, and Statement of Economic Interests, Report of Non-University activities, and ensure compliance with annual training and reporting.
Other
- Run reports to assist in data collection.
- Other related duties as assigned to further the mission of the unit.
Qualifications - Both Positions
Required: - Bachelor's degree in Human Resource Administration, Management, Organizational Administration, Public Administration, Labor Relations, Business Administration or a field closely related to the position.
- Two (2) years (24 months) of work experience performing professional-level human resources duties.
Preferred: - Minimum of two years of progressive work experience that demonstrates strong ability to research, interpret and make recommendations based on HR policy. Experience working in a union environment and interpreting contract language. Experience with common computer applications and demonstrated ability to learn new programs. Experience providing human resources support and coordination at the University of Illinois-Urbana Champaign. Experience in documentation, training, search and hire practices, work authorizations, and/or appointments processing. Project management training and/or experience working on HR information systems projects.
- Proven track record of customer service to diverse clients. Possess excellent interpersonal skills, the ability to communicate effectively with others, the ability to interact with a broad array of internal and external constituents. Awareness of, and sensitivity to, cultural and linguistic differences, commitment to diversity and inclusion.
- Results oriented with strong organizational and time management skills, and the ability to concurrently manage multiple complex tasks, meticulous attention to detail.
- Knowledge of University and Campus policies related to Human Resources including but not limited to those listed in the Campus Administrative Manual, Provost's Communications, and Policies and Rules. Knowledge of BANNER, HRFE, Cornerstone, JDExpert, I-9 Tracker, ANA, PARIS, and Webi. Working knowledge of University of Illinois business and human resources policies and procedures.
Appointment Information These are full-time Civil Service Human Resource Associate positions appointed on a 12 month service basis. The expected start date is as soon as possible after the deadline date. The target salary range for this position is $45-50,000. Final salary offered will be determined by a thorough assessment of available market data, internal salary equity, candidate experience and qualifications, collective bargaining agreements, and budget constraints.
