Job Title: Administrative Assistant (Front Desk)
Job Summary
As the Front Desk Administrative Assistant, you'll be at the forefront of our organization's operations, ensuring a welcoming environment for guests and efficient front desk management. Your responsibilities include greeting visitors, managing phone calls, and maintaining cleanliness and supplies at the front desk and conference rooms. Additionally, you'll provide crucial administrative support to the Account Management team, handling data maintenance and assisting with reporting. Your role also involves overseeing the shipment of customer batch and finished goods samples, ensuring timely communication with clients. Your contributions will be instrumental in maintaining a smooth and organized workflow throughout the office.

Duties & Responsibilities
- Front Desk Operations: Execute general front desk duties, including mail distribution, document scanning, and phone call management. Greet guests and visitors with a warm and welcoming attitude, providing assistance and guidance as needed.
- Reception & Conference Room Management: Maintain the front desk area and front conference rooms for tidiness, cleanliness, and upkeep of supplies such as coffee and water.
- Administrative Support: Serve as the administrative support under the direction of the Director of Account Management for regular data maintenance updates in the company's system. Capture and analyze exception reports, managing a hot list agenda to address urgent matters promptly. Assist with other miscellaneous data entry tasks.
- Data Management and Reporting: Generate and analyze reports under the direction of management. Log data accurately and efficiently to support business insights and decision-making processes.
- Artwork and Material Management: Locate and upload approved artwork to project management platforms. Facilitate the creation of Bills of Materials (BOMs) and case labels, collaborating closely with the Account Executive (AE) team to ensure accuracy and compliance.
- Sample Shipment Management: Oversee the shipment of customer batch and finished goods samples. Track approvals and ensure timely communication with clients regarding shipment details.

Requirements & Qualifications
- 2+ Years in a Front Desk and/or Administrative Assistant Role
- Able to work in a fast-paced environment with a very positive attitude
- Experience in Microsoft Office (Word, Excel, Outlook)
- Able to multi-task while efficiently managing priorities
- Excellent written and verbal communication skills
- Pays strict attention to detail
- Highschool Degree or higher
