Job description

JOB SUMMARY:

The Communications Coordinator reports to the Chief Operating Officer. The Communications Coordinator is responsible for planning, development and implementation of the agency’s comprehensive marketing strategies, social media, newsletters, marketing communications, reports and, fundraising, outreach and public relations activities, both external and internal. The position oversees development and implementation of support materials and services in the area of marketing, communications and public relations. Additionally provides support, coordination and administrative assistance to the Executive Team. The position exercises independent judgment and discretion in matters related to the position of the agency and the board of directors in the community and with funding agencies.

 

RESPONSIBILITIES:

The Communications Coordinator works with Senior Directors to design and create marketing materials, oversees and manages the agency’s social media presence, assist with internal and external newsletters, assists with planning and implementation of fundraising and outreach activities, writing agency and event press releases Perform administrative functions to assist in the daily operation of for the agency, work cooperatively and efficiently with other staff; support agency’s operations work flow. Confidentiality of personnel and agency information is vitally important. Performs other duties as assigned by the Executive Team.

 

Communications Coordinator functions:

· Designs marketing and promotional materials for the organization.

· Responsible for compiling and managing all mailing and donor databases both electronic and USPS.

· Edits all promotional materials prior to distribution.

· Distributes print and online marketing materials.

· Analyzes agency’s social media and online presence.

· Staff community outreach events for the agency

· Assists in redesigning agency website as necessary.

· Maintains agency presence on social media sites like Twitter, Instagram and Facebook

· Organizes and oversees promotional events.

· Provides support for fundraising and outreach events.

· Designs, writes and distributes internal and external agency newsletter.

· Prepares employees for media appearances and interviews.

· Researches ways to reach a wider consumer base, either online or in print

· Ensures that all promotional materials are aligned with agency’s brand identity.

· Addresses and resolves any problems that may arise with promotional content or distribution of materials.

· Writes press releases and media content

· Involved in and assists in Community Needs Assessments and Strategic Planning

 

QUALIFICATIONS/SKILLS:

Ability to communicate both orally and in writing; ability to formulate and initiate marketing and administrative plans and procedures and to direct their applications; ability to deal with people with tact and courtesy; good judgment and strong sense of boundaries; thoroughness and dependability; computer literacy with focus on Microsoft Word, Excel, Publisher and PowerPoint, strong organizational skills; attention to detail; ability to work independently and under pressure. Clean valid driver license.

 

· Experience in marketing, communications or public relations, preferably in the not-for- profit sector

· Bachelors degree in journalism, marketing, public relations, social work or sociology or equivalent combination of education and experience

· A minimum of 5 years of secretarial, administrative or clerical experience

· Demonstrated skills, knowledge and experience in the design and execution of marketing, communications and public relations activities

· Strong creative, strategic, analytical, organizational and personal sales skills

· Experience writing press releases and making presentations

· Commitment to working with shared leadership and in cross-functional teams

· Strong oral and written communications skills

· Ability to manage multiple projects at a time

PHYSICAL DEMANDS/WORK ENVIRONMENT:

Work conditions may include exposure to inclement weather and noise. Position may require exposure to electronic equipment including computers, printers, fax, and copy machines and cleaning equipment. If position requires use of a motor vehicle, driving on city streets and/or highways, exposure to inclement weather and traffic. Employees are to take all precautions and follow all laws while in these environments. This job requires consistent punctuality and attendance at the job site.
