Job Overview

The Operations Administrator will provide administrative support to the operations department supporting project management, field operations, and manufacturing.

Essential Functions and Responsibilities

• Oracle ERP and Project management-oriented data entry and management.
• Entering project data into Oracle ERP system, Project Management module.
• Working with the Project Management (PM) team to coordinate project calls and administrative tasks.
• Working in multiple databases, including Oracle ERP, Monday.com and HubSpot.
• Monday.com administrative support.
• Scheduling meetings and assisting with meeting minutes, note-taking, and action item follow-up.
• Field Services administration, scheduling, and coordination.
• Trip planning and coordination/scheduling including booking travel.
• Reviewing and submitting trip reports.
• Assisting with other operations department tasks as needed.

Reports To

The position will report to the Director of Operations and Project Management.

Qualifications

• High school diploma or equivalent.
• Proven experience in an administrative support role.
• Excellent computer skills, including proficiency with MS Office Suite (Word, Excel, PowerPoint, and Outlook).
• Excellent verbal, written, and interpersonal communication skills.
• Strong organizational skills and the ability to multi-task, prioritize, and meet deadlines in a fast-paced environment.
• Problem-solving skills and a proactive approach to challenges.
• Familiarity with project management principles is a plus.
• Self-motivated and a great team worker.
• Valid driver’s license.

Physical Requirements

• Hearing and vision within normal ranges, with or without corrective lenses or an assisted hearing device.
• Sitting for extended periods and using a computer is common.
• Some lifting is expected; occasional exertion of up to 25 lbs. of force may be required.
• Good manual dexterity is required for the use of computers, mobile devices, and other technologies.
