Dental Clinical Manager Job Description

The Dental Clinical Manager is responsible for assisting the Practice Administrator with overseeing the day-today operations of the back office, dental laboratory, and clinic by ensuring efficient workflows, and maintaining a positive and productive work environment. The ideal candidate will understand the basics of a trauma-informed and harm-reduction approach to health care. We seek employees who display a flexible, positive attitude, initiative, accountability, and the ability to adapt to changes in our growing health center. This role requires teamwork, and the candidate will work closely and collaboratively with both clinical and administrative teams when necessary.

Qualifications : The Dental Clinical Manager will have a high school diploma/GED, and at least 2 years of experience as a dental assistant or foreign dental degree preferred. Prior supervisory experience is required.

Responsibilities include but are not limited to:

Dental Laboratory: Effectively process, track, and manage all incoming and outgoing digital and manual lab cases for all Philadelphia FIGHT Dental sites. Train additional dental staff to oversee lab tracking and case processing in the event of vacation or sick time off. Facilitate timely completion of lab prescriptions such that cases are ready to ship out within two (2) business days. Prepare lab cases for shipment by transferring prescriptions to appropriate electronic or paper forms, packaging cases securely, and ensuring case drop off/pick up/mailing to designated labs for processing. Maintain organization of the dental laboratory and stocking/inventory of necessary equipment and materials. Prepare lab cases for scheduled appointments the following clinic day by 12PM each business day and address any missing/incomplete cases. When necessary, contact patients to reschedule appointments when lab cases are delayed. When necessary, contact patients to schedule appointments when lab cases are received. Communicate internally regarding any lab related changes/issues/concerns/guidance. Communicate with external labs regarding any specific case instructions, rushes, and questions. Fabricate custom trays, wax bite blocks, and rigid record bases when requested. Box pour all alginate models and PVS models as needed.

Supervisory: Maintain OSHA compliance by regularly reviewing all safety protocols and ensuring staff training and compliance. Maintain infection control by conducting regular maintenance of all clinical equipment and biological monitoring such as spore and water line testing, etc in compliance with best practices. Participate in daily morning huddles, directing and leading dental assistants in continuous process improvements. Monitor clinical support staff compliance with departmental and organizational policies and protocols. Monitor provider and staff time off to ensure adequate support for safe and efficient clinical workflow. Provide comprehensive and efficient onboarding of new clinical dental staff as well as students/interns/volunteers. Fill in as chairside Dental Assistant when limited staffing requires it.

Administrative: Monitor [email protected] email inbox for messages related to supplies or lab cases and disseminate communication appropriately. Respond to volunteer requests; screen and then collect credentialing documentation when approved; orient volunteers upon first visit. Manage volunteer/shadow/student schedule to ensure appropriate staff coverage while preventing too many bodies on the clinic floor. Manage clinical inventory, including ordering of dental supplies, to ensure adequate supply and equipment availability while minimizing waste. Coordinate relationships with vendors for supplies, equipment, repair. Assist in reviewing clinic productivity, scheduling procedures, and clinical/administrative protocols for care and treatment. Update and maintain dental operations manual and training materials under the supervision of the Practice Administrator, Dental Director, and senior leadership. Create and oversee incident reports for dental assistants and volunteers serving as dental assistants.

Salary range: Competitive

Travel Requirements: Minimal local travel required between Philadelphia FIGHT Health Centers.

Work Hours: 40 Hours/Week
