Legal Administrative Assistant Location Fort Worth, TX (Ridglea North area) :
How Will Your Role Impact First Command?
Provide administrative support to the SVP, Deputy General Counsel and Legal Department under minimal supervision. Position will require the ability to multi-task on a daily basis, always exercising discretion and independent judgment with respect to matters of significance.
What Will You Be Doing?
- Tracking Legal projects, maintaining corporate Legal Calendar, and assisting the team in prioritizing and handling such projects.
- Handling all aspects of meeting planning to include coordinating schedules, arranging teleconference calls, preparing agendas and presentation materials for various department, attending meetings, and recording minutes of meetings.
- Gather and input relevant metrics data into Excel spreadsheets and publish and distribute key reports to management and legal team members.
- Onboarding of new employees to include equipment and systems access requests.
- Responsible for updating legal SharePoint pages.
- Problem-solve, research, analyze and respond to routine legal-related requests and inquiries from advisors, support staff and internal business units.
- Create additional files, as needed; organize and maintain them per the department document management system.
- Assist in the development and formatting of PowerPoint presentations and other briefing materials.
- Distribute daily mail and arrange for FedEx Mail-outs and place departmental supply orders.
- Assist with routing incoming calls to the department as necessary
- POC for property management request
- Make arrangements for multiple parties within the department for various travel
- Prepare Accounts Payable, Reimbursement forms and Request for Absence.
- Assist in the preparation of letters to Advisor Trainees
- Assist in the organization of materials in common areas
- Active participation in Home Office activities, committees, councils, as align with the AA's interests
- Participate in and support the organization and planning of departmental gatherings and events.
- General clerical duties as assigned
What Skills/Qualifications Do You Need?
Education
- High School Graduate (bachelor's degree preferred)
Work Experience
- 5+ years of administrative experience in a fast-paced environment.
Required Knowledge, Skills and Abilities
§ Strong writing and communication abilities with prior administrative support experience.
§ Must have excellent Microsoft Office Suite proficiency to include Word, Excel, Outlook, PowerPoint, and Access.
§ Excellent judgment, integrity, time management, organization, and interpersonal skills as well as problem solving and logistics aptitude.
§ Ability to work independently with little supervision and to handle multiple assignments from several compliance professionals and/or attorneys simultaneously.
