Looking for an opportunity to work in a supportive, faith-based culture? Bishop O'Gorman Catholic Schools is looking for a Foundation Coordinator! This position is with the Foundation Office and you will have the opportunity to assist the Foundation and its Executive Director in the areas of finances, record keeping, database management, donor relations, special projects, campaigns, marketing, events, and administrative support. This position is full time and weekdays, with occasional evening and weekend involvement.

RESPONSIBILITIES:
- Promote the missions of Bishop O ’ Gorman Catholic Schools and the Bishop O’Gorman Catholic Schools Foundation
- Fulfills the tasks as outlined below for financial records and documentation, database management, donor relations, capital campaigns, scholarships, marketing, public relations, publications, administrative support, events, and other duties as assigned.
Financial Records & Documentation
- Process deposits for the Foundation
- Enter donor gifts and pledges into Donor Management Software and generate gift receipts and thank you letters to donors
- Reconcile general ledger account numbers for Foundation
- Maintain various financial spreadsheets (insurance, endowment, investment, gift)
- Coordinate the verification of annual Staff Salary Initiative gifts/pledges with donors and the recording of these gifts/pledges into Donor Management Software, and other pertinent spreadsheets
- Reconcile quarterly investment summary with Donor Management Software
- Assist with audit duties
- Coordinate past due billing for Foundation
- Maintain ongoing record of all distributions from endowment funds and unique attributes as per donor intent
- Generate annual investment activity statements and end-of-year tax letters to donors
Database Management
- Maintain high level of knowledge of the Foundation’s donor management system, Donor Management Software
- Conduct data entry of Foundation donors into Donor Management Software and reconcile with other records
- Generate various special reports and pertinent information from Donor Management Software to assist Executive Director in his/her duties
- Serve as the backup for the Development Office for data entry and report generation
Donor Relations
- Maintain a positive and professional relationship when interacting with donors/potential donors
- Research and maintain donor/potential donor history
- Write, email, telephone, or meet with individuals to assist in solicitation of funds or gifts in kind
- Answer various questions from donors regarding their gifts, endowments, accounts, special events, annual meeting, etc.
Capital Campaigns
- Assist Executive Director with all stages of a pre-campaign study and a subsequent capital campaign
- Maintain donor and gift databases in Donor Management Software and work with Business Office to ensure accurate financial records
- Conduct donor/prospective donor research
- Perform various campaign duties as assigned
Scholarships
- Manage the Foundation’s annual scholarship awarding process
- Organize the pre-application process to ensure accurate information
- Communicate to stakeholders (families, schools, parishes) the process and deadlines for applying for scholarship
- Facilitate the selection process between donor families and internal selection committees
- Notify selected recipients and work with Business Office to ensure proper transfer of funds
- Organize annual scholarship luncheon
Marketing / Public Relations / Publications
- Serve as the project manager for the Bishop O’Gorman Catholic Schools and Bishop O’Gorman Catholic Schools Foundation’s Annual Report
- Assist the marketing department with the planning, research, execution, and evaluation and marketing and promotional efforts for the Foundation
- Help develop Foundation marketing materials, reports, and correspondence
- Represent the Foundation at meetings as needed
Administrative Support / Events
- Coordinate logistical elements of various Foundation committee meetings, annual meetings, fundraising events, and donor recognition events
- Maintain accurate books of records (minutes, agendas, etc.) for Foundation boards, committees, contracts, receipts, expenses, and disbursements
- Generate purchase orders, submit receipts, track requisitions, etc. for Foundation activities
- Assist in daily office operations such as mailings, telephone coverage, etc.
- Serve as a substitute for filling and verifying gift card boxes
QUALIFICATIONS:
- Exhibit the core values of Bishop O ’ Gorman Catholic Schools: Faith, Unity, Excellence, and Integrity
- Degree in Business preferred
- Experience in the Foundation, Nonprofit, or Advancement sectors is a plus
- General accounting, finance, and investments skills
- Working experience with databases and knowledge of functionality required
- Working experience in the Microsoft Office suite, Google platform, and ability to learn and use work related software
- Knowledge of DonorPerfect or other Donor Management Software is a bonus
