Job Description
Reporting directly to the Executive Team, the Executive Assistant (EA) provides executive support and serves as the primary point of contact for internal and external stakeholders on all matters pertaining to members of the Executive Team. The EA is responsible for maintaining files, records, minutes, and other confidential information deemed appropriate for this position. Additional duties include the following:
- Completes a broad variety of administrative tasks for Executive Team members, including: managing extremely active calendars of appointments; completing expense reports; composing and preparing correspondence that is often confidential and sensitive; board and staff meeting minute taking; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
- Plans, coordinates, and ensures Executive Team members’ schedules are followed and respected. Has access to Executive Team members’ time and offices.
- Communicates directly, and on behalf of Executive Team members, with Staff, Board Members, and other Stakeholders for business-related matters.
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Executive Team, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
- Serves as Executive Team members’ emissary for seamless communication between Executive Team members and internal departments, or external stakeholders; and demonstrate leadership to maintain credibility, trust, and support.
- Works closely and effectively with Executive Team members to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a pulse for the issues taking place in the work-environment and keeping the Executive Team updated.
- Successfully completes critical aspects of deliverables with a hands-on approach, including drafting letters, personal correspondence, and other tasks that facilitate Executive Team members’ abilities to effectively lead their respective divisions.
- Edits and completes first drafts for written communications to external stakeholders.
Qualifications
Associate's Degree or equivalent from a two-year college/technical school in Office Administration of related field. Minimum of three years' experience supporting senior executives; or equivalent combination of education and experience. Bachelor's Degree preferred. Valid driver's license required.
