Job description
Reporting to the General Supervisor/Manager Operations and Maintenance (FSD), responsible for implementation and execution of all fleet needs, including vehicle maintenance and repairs, fuel cards and expenses, vehicle assignment and tracking, titles and registrations, and GPS management. Serve as the main point of contact for all day-to-day fleet-related needs. Familiarity with diverse vehicle fleet including trucks, trailers, buses, and heavy equipment such as forklifts and front-end loaders. General knowledge with mechanical, electrical and braking systems on vehicle classes 1-8.
MAJOR DUTIES AND RESPONSIBILITIES
- Coordinate vehicle purchases with Contract Services Department.
- Manage vehicle fleet in accordance with industry standards, company policies, and regulatory standards. Ensure external fleet appearance is maintained to company standards. Communicate and escalate any issues that arise.
- Manage demand maintenance process; ensure all maintenance work is completed timely and properly. Insure preventative maintenance plans are followed. Ensure vehicles are adequately maintained. Track maintenance costs.
- Assist with management of vendor relationships. Ensure the integrity of repairs/maintenance work performed on fleet vehicles. Review vendor invoices for accuracy. Communicate and escalate any issues that arise.
- Maintain, monitor, and manage vehicle titles. Ensure title information is kept current in the fleet management database.
- Assist with receiving and distribution of new vehicles. Monitor and resolve any quality or delivery issues.
- Assist with the assignment of vehicles, including pool/spare vehicles. Perform periodic vehicle inventory and ensure fleet inventory database is kept current. Assist with proper disposal and tracking of obsolete vehicles.
- Coordinate with Laboratory Researchers on any modifications to research vehicles.
- Performs well with minimal direct supervision and possesses high level of self-initiative.
- Monitors fleet expenditures while performing all fleet related operations.
- Point of Contact for any DOT audits.
- Point of Contact with MIT Campus Insurance Office.
- Point of Contact for drug and alcohol testing.
- Responsibility for DVIR logging.
QUALIFICATIONS
- Commercial Driver’s License (CDL) desirable.
- 5+ years of increasingly responsible experience with a wide range of vehicles in a private vehicle fleet in an administrative capacity.
- 5+ years of experience in vehicular maintenance and repair and/or fleet operations or a combination of training, education and experience, that is equivalent to the employment standard listed above.
- Solid knowledge of State and Federal (DOT) regulations and policies.
- Familiar with Mass RMV Accident Reporting Policies.
- Experience with the following documentation including IFTA (International Fuel Tax Agreement), UCR’S (Unified Carrier Reports), and MCS-150 (Motor Carrier Identification Reports).
- Experience with SAP, Excel, GPS tools and FAR (Federal Acquisition Regulations) a plus.
