Job description

Incumbent serves as Personnel Coordinator for St. Joseph County Human Resource s Department , responsible for onboarding new employees, monitoring training requirements, performing a variety of human resources function s, and assisting County personnel and the public.  

DUTIES :  

 

Coordinat es onboarding and orientation of new employees . P repar es employee identification cards .   

 

Responsible for maint aining personnel files .  

 

Complete employ ment verification s received by telephone, mail, fax, and personal contact.  

 

Assists County personnel and the public regarding Department policies and procedures, including r espond ing to inquiries , providing information, and directing person to appropriate individual .  

 

Processes employee terminations, removing employees from active files, completing related documents, and updating employee records.  

 

Performs duties of Executive Secretary for the Board of County Commissioners in their absence.  

 

Prepares various reports as required and maintains complete and accurate files and records.  

 

Performs related duties as assigned.  

 

I. JOB REQUIREMENTS AND DIFFICULTY OF WORK :  

 

High s chool d iploma or HSE.  

 

Ability to speak with employees on County Benefits package.  

 

Ability to meet all hiring and retention requirements, including passage of a drug test.  

 

Working knowledge of County human resources policies and procedures and training requirements with ability to coordinate onboard ing and schedule trainin g.  

 

Working knowledge of applicable local, state, and federal laws and regulations regarding human resources practices and procedures with ability to apply such knowledge to a variety of interrelated processes, tasks, and operations.  

 

Working knowledge of goals, objectives , tasks, and activities of the Department, and ability to accomplish tasks and activities with accuracy and completeness and meet formal deadlines.  

 

Working knowledge and experience with standard office procedures and computer software and systems used by the Department , including word processing, spreadsheets, and email.  

 

Working knowledge of standard English grammar, spelling, and punctuation and ability to prepare various detailed reports .  

 

Ability to perform duties of Executive Secretary for the Board of County Commissioners in their absence.  

 

Ability to properly operate standard office equipment, including computer, calculator, copier, scanner, and telephone.  

 

Ability to effectively communicate orally and in writing with co-workers, other County departments, County employees, Commissioner s, and the public , including being sensitive to professional ethics, gender, cultural diversities, and disabilities.  

 

Ability to provide public access to , or maintain confidential ity of , D epartment information and records according to s tate requirements.  

 

Shall comply with employer and D epartment policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.  

 

Ability to understand, memorize, retain , and carry out written and oral instructions and present findings in oral or written form.  

 

Ability to file, post, mail materials and copy data from one document to another.  

 

Ability to compile, collate, and classify data, and analyz e , evaluate, observe , diagnose, and investigate .  

 

Ability to work with others in a team environment and work on several tasks at the same time , often under time pressure .   

 

Ability to regularly work evenings .   

 

II. RESPONSIBILITY :  

 

Incumbent’s priorities are primarily determined by supervisor with assignments performed according to specific detailed instructions . D ecisions are always determined by specific instructions or existing, well-established policies and procedures. Work errors are primarily detected or prevented through notifications from other departments or the public . Undetected work errors could result in loss of time to correct errors and work delays in other departments.  

 

I II . PERSONAL WORK RELATIONSHIPS :  

 

Incumbent maintains frequent contact with co-workers, other County departments, County employees, Commissioners, and the public , for the purpose of giving and receiving information.  

 

Incumbent reports directly to Human Resources Manager .  

 

I V. PHYSICAL EFFORT AND WORK ENVIRONMENT :  

 

Incumbent performs duties in a standard office environment , involving sitting/walking at will , sitting for long periods , lifting/carrying objects weighing up to 50 pounds, bending, reaching, k eyboarding, speaking clearly , clos e vision , handling/grasping objects, and hearing sounds/communication .   

 

Incumbent is regularly required to work evenings .
