Construction Project Coordinator

Dooley Mack is seeking a highly organized and detail-oriented Construction Project Coordinator to join our growing team. In this role, you will play a vital role in supporting project managers and ensuring the smooth execution of construction projects from start to finish.
Responsibilities:
- Draft and finalize subcontracts, purchase orders, and change orders in Vista software.
- Manage performance bonds and waivers for projects.
- Prepare closeout documents and as-built plans.
- Handle all project correspondence, including emails, faxes, and letters.
- Order and distribute plans as directed by project managers.
- Maintain and update project filing systems (electronic and physical).
- Process owner billings and obtain subcontractor waivers.
- Manage legal documents and permits associated with projects.
- Send out notices of commencement and obtain building permits for new projects.
- Track subcontractor and vendor logs, and ensure compliance with insurance requirements.
- Coordinate travel arrangements for project managers and superintendents.
- Set up new jobsites, ensuring OSHA compliance and proper signage.
- Oversee project closeout procedures, including obtaining waivers.
- Assist project managers and accounting with subcontractor billings and lien waivers.
- Scan and file project documents for record keeping.
- Assist superintendents and subcontractors with paperwork and questions.
- Box and file completed project documentation and plans.
- Take messages for project managers and assist the estimating department as needed.
Qualifications:
- Minimum 2-3 years of experience in construction administration or a related field.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and construction management software (e.g., Vista).
- Excellent organizational, communication, and time management skills.
- Strong attention to detail and ability to prioritize multiple tasks.
- Ability to work independently and as part of a team.
- Experience in the construction industry is a plus.
