Role Overview
Maintains receiving, warehouse and distribution operations by establishing and monitoring procedures and protocols. Will be educated on all dangerous goods procedures and will be point of contact for shipments containing dangerous goods. Will communicate with UPS contact, and other shipping companies as need to ensure goods be delivered efficiently and timely.
Key Responsibilities
Receiving
- Receive incoming shipments
- Check in stock from HWM, stock from U.S. vendors and supplies
- Work alongside the Administrative Coordinator to ensure stock is entered into Access Dimensions when received
- Unpack stock, count good received and provide delivery tickets to Administrative Coordinator for check against PO and order confirmation
- Communicate any missing stock to Sales Office Manager
- Work with Service Administrator to unpack and clean all repair equipment if necessary
- Log service items on designated spreadsheet
- Assist Service Administrator with assigning RMAs to items returning to FCS for service
Shipping
- Prepare all items to be shipped, ensuring equipment has been tested by technicians before shipping to the customer
- Prepare all shipping documents
- Record all serial numbers for new sales on delivery notes and designated spreadsheet
- Manage the tracking information for shipments and email to customers
- Enter shipping information into UPS Worldship program and ensure proper labels and documents are attached for each shipment
- Print all delivery note documentation through Access Dimensions to be sent with shipment
- Provide extra copies for Administrative Coordinator or Office Manager for invoicing and filing
- Coordinate each morning with Technicians and Service Administrator to determine what will ship that day
- Meet each week with Sales Office Manager and Administrative Coordinator to manage inventory and stock
- Assist in shipping equipment and display to trade shows.
- Process end of day report each day for UPS
Miscellaneous
- Assist Technicians with Permanet sim swap, which includes unpacking, cleaning, logging in, scanning equipment and any other duties that are required for the sim swap and repairs.
- Keep warehouse clean by breaking down boxes daily and taking all trash to the dumpster. Make sure shelves are organized and all inventory can be clearly viewed with proper labeling and bins.
- Work with Sales Office Manager to place orders for needed warehouse supplies including boxes, packing materials, dangerous goods labeling and documentation materials.
- Work with the Sales Office Manager and Administrative Coordinator to organize demo equipment including maintaining proper documentation from customers, tracking serial numbers and ensuring customers are returning on a timely basis.
- Document new sales serial numbers for all new equipment
- Keep inventory organized and make sure it can be clearly viewed with proper bins and labeling
- Work with Sales Office Manager and Administrative Coordinator to organized the demo equipment including proper documentation from customers, tracking serial numbers and ensuring customers are returning equipment in a timely manner
- Document trade show equipment serial numbers
- Pick up local inventory as needed from local suppliers
- Improve organization and functionality of warehouse on a continual basis
- Pursue other opportunities in other departments during downtime, be eager to cross-train
Educational and Workforce Experience Required
- High school diploma
- Dangerous goods training required
- Experience with shipping software: UPS, Fed Ex programs
- Microsoft Office Proficiency
- Good customer service and phone skills
- Strong work ethic
- Able to lift over 30 lbs
