Job description
We are looking for a reliable Office Administrator. They will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently.
The office administrator ensures smooth running of our company’s offices and contributes in driving sustainable growth.
Responsibilities
- Process and update documents for EIDIM Corporation
- Send Insurance Request
- Process Bonds (bid, payments, performance, and license)
- Work on Bonding – once notice of award / intend to award is given coordinate as soon as possible to the Admin Lead.
- Searching for bonding companies (when needed)
- Bid Submission
- Process FedEx Account (when submitting bids)
- Update Awarded Logs, Bond Logs
- Update and check backlogs (everyday)
- Update Permits, Certifications, Licenses (CA, AZ, NV), Memberships (ABC SOCAL, ABC NORCAL)
- Update Accounts (when needed)
- Update Contact information and schedules
- Process scheduling appointments
- Process getting quotes (for both EIDIM and projects)
- Perform duties for Labor Compliance
- Assist Admin Lead in coordinating with HR and Accounting Department for Labor Compliance related duties
- Assist Admin Lead in bookings – hotel/lodging, car rentals, equipment rentals and other bookings that need to be made.
- Assist Admin Lead regarding renewals – insurances, cars, business licenses, and other admin related renewals.
- Process T-mobile account (phone plan), Spectrum Account (internet), SOCAL Edison (electricity)
- Checking fax (everyday)
- Process car registration
- Copy Machine management (leases, maintenance, services) [HQ]
- Assist Admin Lead for office purchases, lunch and snacks supplies, and taking care of uniforms [HQ]
- Vehicular management, dumpster management [HQ]
- Coordinating with Admin personnel regarding weekly meetings, and zoom meetings
- Updating Birthdays of EIDIM calendar
Minimum Qualifications
- Bachelor's degree or an equivalent is required
- At least one-year work experience is preferred
- Strong verbal and communication skills
- Knowledge of Microsoft Office, particularly in Microsoft Excel functions
- Strong organization and time management skills
- Strategic and clear leadership skills
- Able to meet multiple deadlines
- Have skills in solving problems
- Strong problem-solving skills, detail-oriented, with a can-do attitude
We offer a salary of $40,000 - $50,000 per year plus company incentives
