Job description
Marin Community Clinics, founded in 1972, is today, a multi-clinic network with a wide array of integrated primary care, dental, behavioral, specialty and referral services. As a Federally Qualified Health Center (FQHC), we provide vital health services to almost 40,000 individuals annually in Marin County. The Clinics regularly receive national awards from the Health Resources and Services Administrations (HRSA). The Clinic Manager provides administrative support and participates in the hiring and training of clinic support staff, liaises with patients and healthcare professionals and coordinates provider and staff coverage in the clinic. Ensures workflows and processes align with organizational policies and procedures. This position reports to the Senior Operations Director or Regional Clinic Director and serves as back-up to the site operations leader in their absence.
- Examine and resolve complaints received from staff, visitors, patients and providers.
- Execute productivity and optimize clinic workflows.
- Establish and administer clinic specific policies and oversee system standard work.
- Maintain patient flow for quality health care services and efficient use of clinic support staff.
- Direct and assist with the training of front office, medical assistants and other non-provider staff and volunteer staff with procedures, health education, laboratory, and dispensary services.
- Assist with provider scheduling, patient wait time, and other areas as needed to ensure efficient and quality services.
- Identify programs that are needed to improve patient outcomes. Participate in quality improvement activities.
- Perform administrative tasks as assigned by the Clinic Director and/or SR. Operations Director.
- Work closely with Medical Director(s) to maintain an operational and clinical team.
- Update staff and host Wednesday meetings as needed.
- Lead Morning Report.
- Oversees ordering, distribution and storage of clinic supplies.
- Coordinate facility maintenance as needed.
- Assist with other projects as assigned.
Supervisory Responsibilities:
- Understand staffing requirements and create, execute and support clinical staff recruitment and retention strategies.
- Monitor daily work and performance of clinic staff including front office, medical assistants and other non-provider staff.
- Provide performance feedback, training and development of direct reports.
- Work closely with all departmental supervisors.
- Weekly check-ins and meetings with staff in partnership with direct manager.
- Manage supervisors and workflows.
- Maintain appropriate staff levels and participating in recruitment. This includes working collaboratively with Recruiters and may involve dispositioning candidates utilizing our ATS (ICIMS), interviewing and checking references.
- Onboard, train and support continued development of staff.
- Manage employee performance, effectively communicate expectations and goals and provide performance feedback and evaluation in a thorough and timely manner.
- Complete time and attendance requirements for team, approving timesheets, time off requests, and ensure accurate and timely completion for payroll.
- Ensure a safe, secure and legal work environment by upholding MCC’s policies and procedures.
Education and Experience:
- High School Diploma or Equivalent (GED) required.
- Bachelor's degree (B.A.) from 4-year College or university; or one to two years related experience and/or training; or equivalent combination of education and experience.
- At least 3 years of medical office supervisory experience required.
- Knowledge and experience using Electronic Health Records (EPIC) and Practice management software as well as other commonly used computer products (Microsoft Office).
- Administrative and supervisory experience in a primary care setting is preferred.
- Demonstrated knowledge of local health care delivery system.
- Current First Aid/CPR certification.

- Demonstrated commitment to high quality health care for low income populations.
- Bilingual in English/Spanish is preferred.
- Ability to operate all clinical equipment in the clinic site.
- Attendance and punctuality are necessary.
- Required to have versatility, flexibility, and a willingness to work with constant changes in priorities with enthusiasm.
- Have acute attention to detail.
- Expected to have strong interpersonal skills.
- Ability to understand and follow written/verbal instructions.
- Ability to deal effectively with a diverse staff at all organizational levels and external customers.
Physical Requirements and Working Conditions:
- Prolonged periods of sitting at a desk and working on a computer.
- Use of mouse, keyboard and headset.
- Must be able to lift up to 15 pounds at times.
Covid-19 vaccination requirements:
