Job description

We are on the lookout for an exceptionally organized, detail-oriented, and capable Office Manager to become an integral part of our vibrant team. This role is crucial in supporting the seamless operation of our corporate headquarters, dedicated to a federal contractor. As the backbone of our President's virtual office, you'll play a pivotal role in streamlining their focus towards strategic goals and key decisions.

Key Responsibilities:

Spearhead and streamline administrative tasks within the Admin Department to support the President efficiently.
Craft, organize, and manage documents, reports, and presentations for executive scrutiny and decision-making.
Ensure timely distribution of critical documents to relevant stakeholders.
Administer Microsoft Teams folders and Configuration Management systems, guaranteeing orderly storage and retrieval of vital documents in line with our privacy policies.
Monitor Microsoft Teams memberships to ensure access is granted appropriately.
Serve as the primary point of contact between the President and various internal/external entities.
Offer guidance on task management, prioritize assignments, and nurture a constructive, efficient virtual workplace.
Oversee the Executive Assistant and Marketing Coordinator, ensuring their alignment with company goals.
Develop, introduce, and oversee adherence to virtual office policies and procedures.
Facilitate robust communication and collaboration across departments.

Duties Include:

Deliver comprehensive administrative support to the President, ensuring fluid daily operations.
Collaborate with the executive support team for optimal office functionality.
Manage virtual office dynamics to promote efficient workflows in compliance with our policies.
Work closely with IT to enhance communication channels and project management efficiency.
Oversee and secure the configuration management of filing systems.

Skills & Qualifications:

Bachelor's degree with 7-10 years of experience in Office Management, particularly in a virtual setting.
Advanced organizational and multitasking abilities, adept in a fast-paced, virtual environment.
Proficient in virtual workflows, Microsoft Teams, and office management principles.
Preferred background in IT, Data Science, Healthcare, or similar fields.
Proficient in M365 Microsoft Office suite, Adobe Acrobat, and collaboration tools.
Leadership qualities with a focus on promoting an inclusive virtual work culture.
Excellent written and verbal communication skills.
Experience with Bamboo HR, ISO 9001, and/or CMMI standards is a plus.
Must exhibit discretion, confidentiality, and professionalism.
Capability to adapt quickly in a dynamic environment.
Other duties as required.

Educational Requirements:

A Bachelor's degree in Business Administration, Communications, or a relevant field is required.
Prior experience supporting C-level executives in a virtual setup is preferred.
Location & Other Information:

This position is fully remote; however, candidates should be based in Northern VA for occasional local travel.
A high-speed internet connection is a must.
